Outpatient mental health clinic in Port Washington is currently seeking a part-time (approximately 28 hours/week) Billing Specialist/Receptionist. This position provides billing and receptionist support for the clinical practice of our team of psychotherapists and psychiatrist.
Our billing specialist is responsible for using our software system for billing outpatient psychotherapy services, posting insurance payments, reconciling accounts, sending and following up on patient statements, and following up with insurance companies on problem accounts. Receptionist duties include efficiently triaging all phone calls; entering patient demographic and insurance information into office scheduling system; scheduling appointments for patients according to the established practice protocols; greeting and checking patients in for appointments including collecting co-payments; obtaining insurance benefit and prior authorizations for treatment; creating and maintaining patient records; and relaying information to physicians regarding patient questions/medications.

Job Description:
- Perform duties and responsibilities as assigned by the Clinic Director to support billing operations and organizational objectives.
- Correct and resubmit rejected claims, notify providers of any changes in insurance eligibility, benefits, or coverage.
- Review clinical documentation to ensure billing accuracy and compliance with payer requirements.
- Prepare, submit, and monitor insurance claims to ensure timely and accurate reimbursement.
- Monitor claims throughout the revenue cycle and resolve denied claims by submitting insurance appeals and reconsiderations to maximize reimbursement.
- Investigate and resolve unpaid, underpaid, denied, and delayed claims through timely payer follow-up.
- Review and work aging reports to reduce outstanding accounts receivable and improve collections.
- Follow up on unpaid claims and outstanding accounts receivable with insurance companies and clients.
- Post insurance and patient payments accurately in EHR (Electronic Health Record).
- Prepare and send patient statements and respond to billing inquiries professionally.
- Maintain compliance with HIPAA, payer policies, Medicare, Medicaid, commercial insurance regulations, and timely filing requirements.
- Identify billing trends, recurring denials, and opportunities to improve reimbursement and billing processes.
- Work collaboratively with Clinic Director, clinicians, front office staff, and insurance representatives to resolve billing issues.
- Maintain accurate billing records and documentation.
- Provide education, training, and support to newly hired employees and trainees to promote consistency, accuracy, and compliance with billing policies and procedures.
- Complete special projects and tasks as directed by the Clinic Director.
- Assist in receptionist duties by triaging client phone calls, scheduling appointments, checking clients in for appointments, entering client information into EHR, and verifying insurance eligibility and benefits.
- Maintain flexibility to perform additional job-related duties as needed to support organizational and operational needs.
