Service Advisor
Serve as the primary point of contact for customers seeking vehicle maintenance and repair services. Greet customers, assess service needs, prepare repair orders, coordinate repairs with technicians, provide cost estimates, obtain repair authorizations, and ensure a superior customer service experience throughout the repair process.
Key Responsibilities:
- Greet customers promptly and professionally, obtaining vehicle and service information.
- Conduct walk-around inspections with customers, document vehicle condition, and take photographs as needed.
- Listen to customer concerns and identify vehicle issues through questioning, visual inspections, and test drives when necessary.
- Review vehicle service history and recommend maintenance and repair services based on manufacturer guidelines and vehicle mileage.
- Present maintenance menus and explain recommended services to customers.
- Prepare accurate repair orders, including labor and parts estimates, and document customer concerns clearly for technicians.
- Establish realistic completion timelines and communicate promised delivery times.
- Obtain customer approval and signatures for repair work and verify payment methods.
- Coordinate repair work with technicians and service department personnel.
- Monitor repair progress and provide customers with timely status updates.
- Contact customers to explain additional repair needs, provide updated estimates, and secure authorization before proceeding with extra work.
- Explain completed repairs, charges, and maintenance recommendations upon vehicle delivery.
- Educate customers on proper vehicle care and preventative maintenance practices.
- Handle customer concerns and complaints professionally, ensuring prompt resolution.
- Schedule service appointments and maintain accurate customer records.
- Review completed repair orders for accuracy and proper documentation before closing.
- Ensure vehicles are properly parked, secured, and key control procedures are followed.
- Maintain current service department forms, pricing guides, and maintenance menus.
- Support service marketing initiatives and customer retention programs.
- Implement quality control procedures to reduce repeat repairs and improve service outcomes.
- Maintain high levels of customer satisfaction in accordance with dealership and manufacturer standards.
- Consistently uphold customer service, safety, and operational excellence standards.
