Administrative Assistant / Accounting Coordinator

We are seeking a detail-oriented Administrative Assistant / Accounting Coordinator to support our accounting, customer service, and operational teams.
Position Summary
This position plays a critical role in the daily operations of our business. The ideal candidate is organized, accurate, and comfortable working with accounting transactions, customer documentation, order administration, and reporting. This is an in-office position requiring strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.
Primary Responsibilities
Daily Responsibilities
- Enter Accounts Receivable (AR) invoices
- Enter Accounts Payable (AP) invoices
- Review AP invoices against purchase orders to verify pricing, quantities, freight charges, and product details
- Process EFT/ACH customer payments
- Process credit card transactions
- Process customer and vendor checks
- Follow up on past due purchase orders with suppliers
- Maintain electronic and physical filing systems
- Enter and track customer bookings and sales activity
Weekly & Monthly Responsibilities
- Generate and distribute monthly customer invoices
- Submit invoices through customer procurement portals
- Prepare and distribute internal intelligence and business reports
- Assist with schedule management and administrative coordination
- Process and maintain new customer credit applications and account setup documentation
Additional Responsibilities
- Process and distribute order confirmations via email and customer procurement systems
- Track and follow up on Return Material Authorizations (RMAs)
- Support customer service and sales administration activities as needed
- Assist with special projects and general office administration
Qualifications
- 2+ years of administrative, accounting, bookkeeping, or office support experience preferred
- Strong data entry skills with a high degree of accuracy
- Experience with Accounts Payable and Accounts Receivable processes preferred
- Proficiency with Microsoft Office, particularly Excel and Outlook
- Ability to prioritize tasks and manage multiple deadlines
- Strong written and verbal communication skills
- Professional, dependable, and detail-oriented
Preferred Qualifications
- Experience with ERP, accounting, or inventory management software
- Familiarity with customer procurement portals and electronic invoicing systems
- Experience with Sage 300 software is a plus
