Duties
- Greet patients, visitors, and staff with professionalism and warmth, providing excellent customer service at all times
- Answer multi-line phone systems promptly using proper phone etiquette, directing calls accurately to appropriate departments or personnel
- Manage front desk responsibilities including scheduling appointments, maintaining calendars, and coordinating patient flow
- Perform clerical tasks such as data entry, filing, proofreading documents, and updating patient records with precision
- Handle incoming and outgoing mail, manage office supplies inventory, and ensure the reception area remains tidy and welcoming
- Assist with office management duties by supporting administrative staff with calendar management and personal assistant tasks as needed
- Maintain confidentiality of sensitive information while ensuring all communication is clear, organized, and timely
Skills
- Bilingual abilities are highly valued to effectively communicate with a diverse patient population
- Proven office management experience with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy
- Strong organizational skills with keen attention to detail in typing, proofreading, data entry, and filing tasks
- Excellent customer service skills complemented by professional phone reception capabilities including multi-line phone system operation and phone etiquette
- Demonstrated ability to handle clerical responsibilities efficiently while managing time effectively in a fast-paced environment
- Experience in client communication and support roles that require patience, clarity, and professionalism
- Personal assistant experience or calendar management skills are advantageous for supporting administrative functions
