POSITION SUMMARY:
BostonSight is a nonprofit eye healthcare organization and research center dedicated to saving sight and improving quality of life for patients. Founded in 1992, the Needham, MA, Center of Excellence includes a clinic, research center, state-of-the-art FDA-certified and ISO- compliant manufacturing lab, and patient and family support center. BostonSight PROSE™ Treatment is available at top medical centers in the U.S., Canada, and India. BostonSight SCLERAL was launched to expand access to global scleral lens technology. BostonSight envisions a world where no one suffers loss of sight from corneal irregularities or ocular surface disease.
POSITION SUMMARY:
The Lead Ophthalmic Assistant is responsible for the direct supervision of all BostonSight Ophthalmic Assistants, execution of timely and accurate patient workups and diagnostic testing, and managing clinical patient flow. This position performs patient workup and diagnostic testing, as needed. The Lead Ophthalmic Assistant reports to and works closely with the Director of Clinical Operations.
EDUCATION AND EXPERIENCE:
- Certified Ophthalmic Assistant (COA) or Certified Ophthalmic Technician (COT)
- A minimum of 5 years of experience in an ophthalmic practice
- A minimum of 3 years of management experience in healthcare
- Bachelor’s degree preferred, but not required
An equivalent combination of education and experience, which provides proficiency in the areas of responsibility listed below, may be substituted for the above education and experience requirements.

ESSENTIAL RESPONSIBILITIES:
Ophthalmic Assistant Management and Clinic Oversight:
- Lead the recruitment and interview process for new ophthalmic assistants and co-op students
- Monitor training of ophthalmic assistants and students
- Supervise ophthalmic assistants and assess work performance and productivity
- Facilitate communication between BostonSight doctors and patient primary eye care providers
- Maintain communication between lab, patients, doctors, and front desk to set expectations
- Conduct weekly chart reviews
- Coordinate weekly work assignments and create weekly tech schedule
- Schedule daily tech orders
- Monitor patient flow to ensure all patients are seen in a timely manner
- Provide positive and constructive feedback in bi-weekly meetings with ophthalmic assistants and during the annual performance review process
- Organize and lead monthly staff meetings
- Oversee timely completion of all patient encounters by providers
- Assist Director of Clinical Operations with development and implementation of quality assurance processes and clinic protocols
- Ensure compliance with quality assurance processes, clinic protocols, HIPAA and other applicable regulations throughout clinic areas
- Process medical record release requests to ensure HIPAA protocols are followed
- Prepare FMLA requests for treating providers
- Address patient questions, concerns, and complaints
- Assist with maintaining the PROSE Guide and Clinic Handbook
Ophthalmic Assistant Responsibilities:
- Perform patient workups:
- Document accurate chief complaint, medications, medical and ocular history
- Verify and document current/wearing PROSE device information, when applicable
- Perform visual acuity and pinhole tests
- Complete spherical over-refraction using trial lenses
- Measure eyeglasses using both automatic and manual lensometers
- Perform diagnostic measurements with Pentacam, iTrace, and OCT, as ordered
- Prepare slit lamp camera for doctor, as needed
- Provide instruction in application, removal, cleaning, and disinfection of PROSE devices
- Provide motivation to patients to achieve goals of device application, removal, and care across a broad range of patient capabilities
- Clean and disinfect exam rooms between patients
- Disinfect and prepare devices used by doctors
- Ensure daily calibration of diagnostic equipment and monthly calibration of tonometers
- Expedite repairs of ophthalmic equipment
- Prepare patient bags and update device orders for following day
- Follow clinic protocols in the event of a medical emergency
- Assist in patient triage received by phone, email and website inquiry, when needed
- Assist in obtaining prior authorization for medication as required by insurance companies, when needed
- Perform other duties and special projects as assigned
