Pavese Law Firm is seeking a full-time Billing Coordinator to join our established and growing law firm. This position plays a vital role in supporting the Firm’s accounting and administrative functions, including client billing, accounts receivable, accounts payable, and related financial processes. The ideal candidate will be detailed-oriented, organized, and able to maintain professionalism and confidentiality while working closely with attorneys, staff, and clients.
Responsibilities:
- Coordinates time entries and disbursements/client billing data into the computer system.
- Prepare and generate client statements and reports using TABs software.
- Distributes weekly billing and accounting reports.
- Review billing information, make necessary corrections, and generate final statements.
- Maintain regular communication with attorneys, staff, and clients regarding billing matters.
- Print attorney’s weekly docket report and distribute.
- Assist with additional accounting and administrative duties as assigned.
Experience and Qualifications:
- Prior administrative, accounting or office experience required; law firm experience preferred.
- Experience with legal billing software is a plus.
- Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines.
- Excellent attention to detail and accuracy.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Strong written and verbal communication skills.
- Ability to work independently within a team environment.
- Ability to maintain strict confidentiality and exercise discretion when handling sensitive information.
- Ability to work efficiently in a fast-paced environment and perform well under pressure.
- Strong interpersonal skills with the ability to communicate professionally and courteously with attorneys, clients, and staff.
- Operate standard office equipment, including computers, copiers, scanners, and calculators.
- Professional appearance, positive attitude, and strong work ethic.
