Job Title: Assessment and Data Specialist
Calendar: 215 days, 8 Hours
Salary: Level I, Grade 7
POSITION SUMMARY
This position tracks and manages data within assessment tools and third party apps. Provides information and assistance to employees and administrators regarding assessment tools. Works collaboratively with specialists, school district personnel and data system coordinators to ensure accurate and efficient data input and output.
ESSENTIAL RESPONSIBILITIES
Essential duties of this position include the following. Employees in this position perform some or all of the following tasks. Other related duties may be assigned.
- Validates and inputs data routinely, as needed to support district programs.
- Designs a process and identifies and organizes resources for achieving expectations and goals.
- Maintains the database for the ODE student information system for students receiving migrant services.
- Conducts Quality Checks for Certificates of Eligibility for families qualifying for migrant services and ensures that the identification and recruitment activities
- Facilitates the development of reports as required by departments, districts, Oregon Department of Education.
- Participates in program planning activities, attends required meetings and training, and participates in task force assignments.
- Stays up-to-date and current in all areas of data submission.
- Completes required paperwork in specified time and manner.
- Pulls migrant and ELL reports and verifies information. Verifies all pertinent information is entered in databases correctly, accurately and in a timely manner.
- Works cooperatively and collaboratively as a team member.
- Supports the Parent Advisory Council, as needed.
- Maintains the district intake log for entering English Language Learners.
- Updates Synergy with accurate information for students who are receiving migrant or ELL services.
- Partners with secretaries to send required documents to families regarding ELL and Migrant populations.
- Visits farms and nurseries with recruiters, as needed.
- Serve as the primary expert for key instructional and assessment applications, including but not limited to Panorama, MAP, STAR, mClass, and Flashlight360.
- Problem solve user access, role-based permissions, and rostering integrations to ensure seamless day-to-day operation, partnering with technology when necessary.
- Provides advanced technical support to resolve data sync failures, login issues, reporting errors, and system glitches.
- Identify, document, and escalate recurring software bugs or technical issues directly to third-party vendor support teams for quick resolution.
- Maintain a technical support log or ticketing queue to ensure prompt response times for school staff and administrators.
- Monitors and maintains automated data feeds between the Student Information System (SIS) and third-party platforms (including but not limited to state-required data bases and assessment tools) to ensure accuracy and data consistency.
- Conduct routine data audits to clean up duplicate records, correct roster mismatches, and verify assessment data transfer.
- Create clear standard operating procedures, quick-start guides, and troubleshooting workflows for end-users.
- Partner with instructional technology teams to onboard new staff and provide technical guidance on app features and dashboard navigation.
- Provides technical training and consultation to administrators, teachers and other staff of the use of third-party apps.
- Attends monthly meetings and webinars with ODE, and other district and state level required meetings.
OTHER RESPONSIBILITIES
- Maintains consistent and predictable attendance to meet the requirements of the position.
- Reports incidents relating to students or staff to appropriate instructional and/or administrative personnel.
- Performs other duties as assigned.
MINIMUM QUALIFICATIONS
Education : High School diploma or equivalent; 72 quarter hours of accredited college or equivalent education or passing score on District HQ Assessment.
Experience : Prior job related experience paid or volunteer with school age children.
Skills :
- Excellent written and verbal communication skills in English and Spanish, including a strong command of grammar, punctuation, and spelling. Ability to collaborate effectively with students, parents, staff, and the community.
- Proficient in operating computers, standard office machinery, telephones, and modern productivity technology. Capable of performing basic clerical functions accurately.
Exceptional organizational skills with the ability to facilitate instructional activities and perform basic arithmetic calculations.
