Overview
We are seeking a dynamic and highly organized Executive Personal Assistant to provide exceptional support to our Owner and Managing Attorney. This role is vital in ensuring seamless daily operations, managing schedules, coordinating projects, and handling confidential information with professionalism and discretion. The ideal candidate will be proactive, detail-oriented, and thrive in a fast-paced environment where multitasking and effective communication are key. Duties
- Manage and coordinate calendars, including scheduling meetings, appointments, and business travel arrangements.
- Provide administrative support such as drafting correspondence, proofreading documents, taking meeting notes, and maintaining accurate data entry records.
- Organize and plan events, conferences, and internal meetings, ensuring all logistics are handled efficiently.
- Facilitate internal communication across departments, ensuring timely dissemination of information and follow-up on action items.
- Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial record keeping.
- Support project coordination efforts by tracking deadlines, preparing reports, and collaborating with various teams to ensure project milestones are met.
- Assist the Managing Attorney with Social Media Marketing, including editing and posting social media content, responding to inquiries from potential clients, and assisting with the Firm's social media platforms (TikTok, Instagram, and Facebook).
Requirements
- Experience as an executive assistant or personal assistant (preferred).
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Excellent written and verbal communication skills with professional phone etiquette.
- Proficiency in productivity software such as Microsoft Office (Word, Excel, PowerPoint), Outlook Calendar, and video conferencing software like Zoom or Teams.
- Technical proficiency in office management tools including QuickBooks for bookkeeping and DocuSign for document signing workflows (preferred).
- Demonstrated ability to handle confidential information discreetly with integrity.
- Experience in event planning, project management, and internal communication strategies is highly desirable.
- Exceptional typing skills combined with attention to detail for proofreading and transcription tasks.
- Ability to manage multiple priorities simultaneously while maintaining a high level of accuracy and professionalism.
