With our expansion into Tempe, we’re looking for an Intake Specialist who will bring heart, precision, and energy to every client interaction.
Position: Intake Specialist (Tempe)
Location: Tempe, AZ
Reports To: Intake Manager / Store Manager
Schedule: Full-time, in-office
Key Responsibilities
As the first impression of Collision Xperts, the Intake Specialist will:
- Serve as the primary contact for new leads, delivering empathetic, professional, and timely communication.
- Gather all client and accident details through the Property Damage Questionnaire, ensuring accuracy and completeness.
- Verify referral source information with precision on each file.
- Explain 1st Party vs. 3rd Party claim options clearly and confidently, guiding clients toward the best solution.
- Ensure same-day follow-up with every lead, leaving detailed notes in CCC ONE and updating referral partners on status.
- Leave professional voicemails, send follow-up texts, and confirm communication in real time.
- Track claims progress (liability decisions, rental reservations, scheduling, etc.) and maintain organized records in the PD spreadsheet.
- Communicate with insurance carriers to set up claims, confirm coverage, and obtain adjuster contact details.
- Collaborate with attorneys’ offices and our internal team to ensure clients feel supported at every step.
- Support scheduling by coordinating drop-offs, rentals, and tows while maintaining clear documentation.
Qualifications
- Previous experience in customer service, intake, or claims processing preferred (collision or insurance experience is a plus).
- Strong communication skills with the ability to explain processes with empathy and confidence.
- High attention to detail—no blanks on intake sheets; accuracy is critical.
- Tech-savvy with ability to work in CCC ONE, spreadsheets, and other office systems.
- Bilingual (English/Spanish) strongly preferred.
- Team-oriented, dependable, and motivated by helping people.
