About the role
KOST Management operates apartment communities across the Twin Cities metro. We are looking for an outgoing, detail-oriented Assistant Property Manager to own leasing and the resident experience while taking on progressively more of the operational and financial side of running a portfolio.
This is a relationship job first. You will be the person a prospective resident meets on tour and the person a current resident comes to when something matters to them. It is also a numbers job: occupancy, conversion, delinquency, and retention are yours to move.
We are a medium sized, fast-growing company with real systems behind us. You will have direct ownership of your properties, a direct line to leadership, and a clear path to a Property Manager role for the right performer.
What you will own
Leasing and occupancy
- The full lead-to-lease lifecycle: inquiry response, tour scheduling and touring, prospect qualification, application processing including income, employment, and background verification, and lease execution
- Renewal pipeline management — working through resident objections creatively to protect retention and push rents with the market
- Show unit and tour-ready unit presentation, coordinating with maintenance and management on staging
- Unit marketing content (photography, video, flyers, website updates) and listing accuracy across Zillow, Apartments.com, CoStar, Facebook Marketplace, and other platforms
Pricing and revenue
- Quarterly competitor analysis — more frequently at any property below 95% occupancy — covering asking rents, concessions, amenities, and unit condition at comparable communities
- Recommend asking rents by unit type and floor plan, and [set / recommend for approval] pricing changes as market conditions and exposure shift
- Own renewal pricing: build the increase recommendation for each expiring lease based on in-place rent versus market, resident payment history, tenure, and unit condition
- Recommend concessions and specials, including when to hold price and absorb a longer days-on-market instead
- Manage lease expiration laddering so terms are staggered and expirations land in stronger leasing months rather than clustering in the winter
- Track and report the results of pricing decisions — leased rent versus asking, trade-out on turns, renewal capture rate, and concession cost per lease
Resident operations
- Move-in coordination, accurate resident files in AppFolio, and a move-in survey program you own end to end, from design through acting on the results
- Resident concerns and work order intake, routed through AppFolio to maintenance and followed through to resolution
- Resident events and local community outreach representing KOST
Delinquency and collections
- Own the aging report. Review delinquency weekly, know the story behind every balance, and keep the ledger clean and accurate.
- Make first contact on every past-due account on a set cadence — phone, email, text, and in-person — and document every attempt in AppFolio
- Negotiate and administer payment plans within approved parameters, and track adherence so a broken plan is caught immediately rather than at month end
- Prepare and serve required late and pre-filing notices accurately and on time, in compliance with federal, state, and local law
- Assemble eviction files and ledgers when a case escalates, and coordinate with the property manager and legal counsel through resolution
- Manage move-out ledgers, final account statements, and handoff of former resident balances to collections
- Report delinquency weekly with dollar aging, unit-level detail, and the specific action being taken on each account
Systems and process building
- Document how the work actually gets done. Build and maintain written SOPs and checklists for leasing, move-in, renewal, delinquency, and turn workflows.
- Configure and improve AppFolio workflows, task templates, notice and letter templates, and reporting so the process runs the same way every time regardless of who is doing it
- Identify friction and recurring failure points in current processes and bring specific, implementable fixes to management rather than workarounds
- Help onboard newly acquired properties onto KOST leasing and resident systems
- Train and support teammates and vendors on the processes you build, and keep documentation current as things change
Financial and administrative
- Lease compliance and required resident notices, prepared accurately and served on time
- Security deposit dispositions in compliance with Minnesota law
- Invoice review and coding support, and vendor coordination and scheduling
- Weekly reporting on leasing activity, occupancy trends, delinquency, and lead conversion to management
- Serving as the point of contact at the property in the property manager's absence
Compliance
- Fair Housing compliance across every leasing, pricing, and resident interaction, at the federal, state, and local level. We provide the training.
- Consistent, documented application of screening criteria, pricing, and delinquency escalation across all residents and applicants
We use AI tooling to handle initial lead capture and tour scheduling. Part of your job is auditing that output for accuracy so nothing falls through — it exists to keep your pipeline clean, not to replace the human side of leasing.
What we are looking for
- 2+ years in property management, leasing, or a closely related field is preferred. Strong customer service, sales, or hospitality experience where you were measured on results will also be considered.
- Comfort with technology and the ability to learn new software quickly. AppFolio and Google Workspace experience is a plus.
- Strong organizational skills and genuine attention to detail. Leasing files, notices, and data entry have to be right.
- Clear, professional phone and written communication
- Comfort with numbers. You will work in rent rolls, aging reports, and market surveys, and you will be expected to form a view and defend it.
- Willingness to have direct financial conversations. Collections work requires someone who can be firm and respectful in the same call.
- A process mindset. If you notice yourself doing the same thing three different ways, you should want to fix it.
- Sound judgment and discretion. You will handle sensitive resident financial and personal information.
- Self-motivated and able to work independently in the field, while operating as part of a small team
- Experience with AppFolio Preferred
Logistics: Our central office is in Minneapolis, and we service properties throughout the twin cities with concentrations in Minneapolis, St. Paul, Inver Grove Heights, Burnsville, Golden Valley, and Crystal, among others. This role requires reliable transportation to travel between the office and properties, a valid driver's license, and current auto insurance.
This position involves walking properties, climbing stairs, and showing units outdoors in all seasons.
Employment is contingent on a satisfactory background check and motor vehicle record review.
