The Role
SOURCED INTERIORS is looking for an exceptional Administrative and Operations Manager — someone who can walk into a fast-moving luxury design studio and make it run like clockwork without tremendous supervision.
This is not a generalist admin role. We need a true operations professional who understands the pace, immense complexity, and luxury standards of the interior design or construction industry. You already know what a procurement process looks like. You understand lead times, vendor coordination, contractor communication, and the weight of getting every detail right for a high-end client. You've been in this world, and you're ready to own it operationally.

What You'll Own
You will be the operational backbone of the studio, working closely with the Principal and design team to ensure every project, process, and client touchpoint is handled with accuracy and professionalism.

Day-to-Day Operations
- Create structures, improve workflows, and maintain digital files, client folders, vendor records, and project materials in organized, consistent, accessible systems
- Track orders, proposals, invoices, samples, deliveries, approvals, and project documents across all active projects
- Follow up consistently and proactively on outstanding items, deadlines, and deliverables — without being asked twice
- Support office procedures, internal workflows, and task tracking to keep the studio running at a high level
- This is hybrid position but you must have the willingness and ability to travel to job sites in South Florida, attend office meetings, client meetings, vendor meetings and represent a luxury interior design studio.

Client & Vendor Coordination
- Handle professional client communication, vendor follow-up, and project correspondence
- Coordinate with vendors, showrooms, receivers, contractors, consultants, and service providers
- Ensure all external-facing communication reflects the polished standard of the SOURCED INTERIORS brand

Documents & Presentations
- Prepare proposals, presentations, spreadsheets, schedules, reports, and client-facing documents with care and precision
- Organize and maintain project tracking systems, sample library, and studio resources

Technology & AI Skills
Strong, confident computer skills are non-negotiable. You will be working across multiple platforms daily and are expected to manage digital operations with speed and accuracy.
**Required proficiency:** Email, digital calendars, cloud-based file organization, spreadsheets, and word processing. Experience preparing polished, client-facing documents is essential.
**Required platforms:** Google Workspace, Microsoft Office, Canva, Dropbox. Familiarity with Apple Pages / Numbers / Keynote is a plus — PC users who are quick to adapt are equally welcome. Houzz Pro and/or other design-based platform experience is a strong plus.
**AI proficiency is highly desirable.** The right candidate uses AI tools confidently to improve efficiency — for writing, research, task management, document preparation, and daily workflow. This studio embraces technology, and we want someone who does too.
You are resourceful with technology — able to troubleshoot day-to-day issues independently and quick to adopt new platforms as the business evolves. You don't wait for IT; you figure it out.

Qualifications
- Interior design, architecture, or construction industry experience is strongly desired — you must understand how design projects move, what vendors and contractors need, and the operational demands of this industry
- Proven track record in a high-level operations or administrative management role
- Exceptional attention to detail — you catch what others miss
- Strong written and verbal communication skills, with a polished, professional presence
- Highly organized with outstanding follow-through
- Comfortable managing multiple active projects and shifting priorities simultaneously
- Discreet, client-service oriented, and professional at all times
- AI-adaptable — comfortable learning and integrating AI tools as systems and technology evolve
- Have the ability to travel to job sites in South Florida, office meetings, client meetings, vendor meetings and represent a luxury interior design studio.

Compensation
This is a contract position. Compensation is commensurate with experience and the value you bring to the business.
**Estimated range:** $25–$30/hour | ~$55,000–$62,400 annually, depending on experience and schedule.
Pay: $25.00 - $30.00 per hour
Expected hours: No less than 30.0 per week
