About the Role
We are seeking a highly capable Executive Administrative Assistant to support the founder and managing director of a growing group of companies operating across hospitality, culinary staffing, e-commerce, and events.
This is a high-trust role for an organized, polished, and dependable professional who thrives in a fast-paced environment and enjoys helping executives stay focused, prepared, and efficient.
The successful candidate will serve as a key administrative partner to the managing director while also providing coordination and organizational support to members of the leadership team. This role requires exceptional attention to detail, strong follow-through, sound judgment, and the ability to manage multiple priorities without losing accuracy.
This is not a traditional administrative role. We are looking for someone who takes ownership, anticipates needs, and brings structure to a dynamic environment while operating within established priorities, processes, and decision-making boundaries.
What You’ll Do
Executive Support Manage and maintain a complex executive calendar across multiple businesses Coordinate meetings, appointments, travel, and daily logistics Prepare meeting agendas, materials, and follow-up action items Prioritize incoming requests and communications Draft professional correspondence, documents, and presentations Maintain organized digital files, records, and executive resources Handle confidential and sensitive business information with discretion Ensure commitments, deadlines, and important details are tracked and completed
Leadership Team Support Assist the Director of Operations with project tracking, documentation, and administrative coordination Support leadership initiatives by maintaining organization, timelines, and follow-through Provide CRM and pipeline management support for the Director of Hospitality Partnerships, including data accuracy, updates, and reporting Help maintain consistency and organization across multiple business systems and workflows

Required Experience 3+ years of experience supporting executives, founders, business owners, or senior leaders Experience managing complex calendars and competing priorities Strong written and verbal communication skills Excellent attention to detail and follow-through Experience with digital organization, documentation, and workflow management Proficiency with Google Workspace and/or Microsoft Office Reliable home office setup and high-speed internet Ability to work independently in a remote environment
Preferred Experience
Experience with the following is a plus: Airtable Slack Google Meet Calendly SignNow CRM systems Project management platforms AI productivity tools such as ChatGPT or similar solutions
