Summary
We're looking for a sharp, organized individual to support our loan originators and processors from application through post-close. At Mortgage Trust, our Loan Officers focus on their highest and best use: cultivating client and partner relationships. To make that possible, they spend very little time on administrative or processing duties – and that’s why this position exists. You don't necessarily need to come from the mortgage industry – but it's our preference.
Obtaining documentation, chasing down conditions, and managing communications with all parties involved in a transaction are handled by our assistants, coordinators, and processors. This position is focused on LOS entry and document management, order outs, condition collection, pipeline milestone tracking, and borrower and partner communication at every stage. The right person also takes ownership of post-closing relationship touches – check-ins, gifting, and the birthday card program – that keep past clients connected to their LO over time.
Qualifications
- 1-2 years mortgage industry experience. You’ve been a loan officer's assistant, worked in a title company, or sat in a processor's chair. You know the cadence and are functionally fast.
- 2-3 years in a deadline-driven, regulated adjacent field like real estate, title, escrow, insurance, legal, or financial services. Your operational muscle transfers and we can train you on our vocabulary.
- Process-driven and able to manage a pipeline of tasks delegated to you by our team.
- Honest and transparent, respectful of confidentiality.
- Curious and committed to continuous learning – you ask questions, seek to understand the why, and get better at your craft over time.
- Collaborative – you share context, loop people in, and don't operate in a silo.
- Able to independently advance loan files through proactive communication with borrowers, third parties, and team members.
- Comfortable navigating multiple lender portals and tools, and knows when to ask for help.
Responsibilities
File & Pipeline Management
- Complete and verify loan applications in LOS (Encompass)
- Organize, classify and maintain digital file storage throughout the origination process as tasks are completed (OneDrive / Encompass)
- Manage required compliance forms – credit authorization and MTI Fraud form
Order Outs & Administrative Requests
- Complete administrative orders and requests – property profiles, appraisals, electronic verifications (VOE, SSN, 4506-T, flood, insurance), outbound verification calls (employers, servicers, landlords), disclosure and compliance packets (Patriot Act, initial disclosures), credit rescores, and e-sign packet preparation and sending
Condition & Pipeline Follow-Up
- Coordinate with processor for lender UW
- Collect outstanding conditions from borrowers and third parties
- Follow up on outstanding items across all pipeline milestones (initial disclosures, CDs, docs out, signing appts, cash to close, funding)
Borrower Communication
- Communicate with borrowers to obtain missing documentation
- Send in-process milestone communications using LO templates
Partner Communication
- Provide in-process updates to realtors as needed
Post-Close & Relationship
- Manage birthday card program
- Coordinate closing and thank-you gifts
- Send post-closing check-in communications (7-day, 30-day)
Salary & Benefits
- Base salary of $???, depending on experience
- Sick Leave is offered at 40 hours per year, with all 40 hours available at the beginning of the year (prorated as appropriate based on start date) with the ability to roll over 40 hours from year to year (for a theoretical total of 80 hours in a single year).
- Open Paid Time Off (OPTO) affords each employee the flexibility to take paid leave as needed, while reasonable and equitable in order to fulfill responsibilities at Mortgage Trust. Employees plan time off with their supervisor and team. In short, we track but do not place a numerical annual limit on paid employee vacation days.
- At least 10 paid holidays, currently including New Year’s, MLK Day, Memorial Day, Juneteenth, 4th of July, Labor Day, Indigenous People’s Day, Thanksgiving (Thursday & Friday), and Christmas.
- Health insurance starting on the first of the month following your start date. This includes:
- Medical and vision through Regence Blue Cross Blue Shield.
- Dental through Moda (Delta Dental or Willamette Dental).
- We pay ~50% of the employee premium for the base medical+vision plan (there are three plan levels available) and 100% of the employee premium for dental.
- Alternative plans and/or dependent coverage are available as a pre-tax employee expense.
- Two Flexible Spending Accounts (FSA) are also available starting on the first of the month following start date. Employees are able to deduct pre-tax money for:
- Out-of-pocket medical expenses (limited rollover of FSA funds from one plan year to another is available).
- Dependent care costs.
- Optional long-term disability and life+AD&D insurances are also available.
- 401(k) retirement plan with both traditional and Roth contribution options.
