Job Summary
We are seeking a dynamic and highly organized Office Administrator to join our team! Duties
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
- Maintain organized filing systems, perform data entry, and ensure accurate record-keeping using tools like Microsoft Office, Google Workspace and JobTread.
- Oversee calendar management for appointments, meetings, and events, ensuring all schedules are up-to-date and well-coordinated.
- Provide exceptional customer support by responding promptly to inquiries via phone or email, offering assistance or directing to the appropriate team member.
- Handle clerical tasks such as proofreading documents, managing correspondence, processing invoices, and performing basic bookkeeping duties.
- Support office management activities including supply inventory control, maintaining cleanliness, and ensuring a professional work environment.
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills.
- Proficiency in JobTread, Google Workspace applications, and computer literacy.
- Familiarity with QuickBooks for bookkeeping and data entry tasks.
- Excellent phone etiquette skills with experience managing multi-line phone systems.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Prior experience as a receptionist—construction—preferred for understanding front desk operations in construction settings.
- Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment without being micromanaged.
- Personal assistant experience or office experience involving calendar management.
- Must be comfortable working alone in beautiful, quiet, rural office.
