As we continue to grow, we are seeking an experienced Office & Accounting Manager to help strengthen our financial, administrative, human resources, and office processes.

Position Overview
The Office & Accounting Manager will oversee the company’s day-to-day accounting and office administration functions while supporting payroll, human resources, employee administration, and general business processes.
Reporting directly to the CEO & Owner, this position will be responsible for maintaining accurate financial records, ensuring administrative processes run efficiently, supporting employees and management, and continually identifying opportunities to improve systems and workflows.
This is not simply a bookkeeping or administrative position. The successful candidate will take ownership of the function, identify what needs to be done, and proactively develop solutions that make the business more organized, efficient, and scalable.
The Office & Accounting Manager will work closely with the CEO, General Manager, and other members of the management team. The role is focused primarily on accounting, administration, HR support, and process management, while the General Manager retains responsibility for operational leadership and FP&A functions.
Key Responsibilities
Accounting & Bookkeeping
- Manage day-to-day bookkeeping and accounting functions, including accounts payable, accounts receivable, invoicing, deposits, reconciliations, and general ledger activities.
- Maintain accurate, timely, and well-organized financial records.
- Assist with monthly and year-end financial close processes.
- Prepare routine financial and management reports for the CEO & Owner.
- Monitor accounts receivable and assist with collections and customer account issues.
- Process vendor invoices and maintain accurate vendor records.
- Reconcile bank and credit card accounts.
- Assist with cash-flow tracking and other financial reporting as requested.
- Work with the company’s outside accountant/CPA and provide requested information and documentation.
- Identify discrepancies, investigate issues, and ensure appropriate resolution.
- Maintain appropriate internal controls and financial documentation.
Office & Administrative Management
- Manage the day-to-day administrative functions of the company office.
- Develop and maintain organized filing, recordkeeping, and document-management systems.
- Coordinate office supplies, vendors, equipment, and other administrative needs.
- Maintain company records, licenses, insurance documentation, and other business-related information.
- Provide administrative support to the CEO and management team as needed.
- Establish and maintain policies, procedures, checklists, and standardized workflows.
- Ensure important administrative deadlines and compliance requirements are monitored and addressed.
Human Resources & Employee Administration
- Support employee onboarding and offboarding processes.
- Maintain accurate and confidential employee personnel records.
- Assist with payroll administration, timekeeping, and related processes.
- Support employee benefits administration and serve as a resource for routine employee questions.
- Assist management with employee communications, documentation, and personnel-related processes.
- Maintain a working knowledge of applicable employment laws and HR best practices.
- Recognize situations requiring professional HR, legal, or other expert guidance and appropriately escalate them.
- Partner with the CEO and management team to promote a professional, respectful, and positive workplace culture.
Process Improvement & Business Efficiency
A critical component of this position is the continuous improvement of how the company operates.
- Continuously evaluate accounting, administrative, and office processes to identify opportunities for improvement.
- Develop and implement more efficient systems, procedures, and workflows.
- Reduce unnecessary paperwork, duplication, errors, and administrative bottlenecks.
- Identify opportunities to automate or streamline repetitive processes.
- Leverage technology and Microsoft Office tools to improve organization, reporting, communication, and productivity.
- Create clear, repeatable processes that can scale with the company’s growth.
- Document key procedures and ensure processes are consistently followed.
- Measure the effectiveness of process improvements and make adjustments when appropriate.
- Bring forward ideas and recommendations rather than simply waiting for direction.
Qualifications & Experience
Required Qualifications
- 5+ years of progressively responsible experience in accounting, bookkeeping, office administration, business administration, or business operations, preferably within a small or growing company.
- Strong understanding of bookkeeping and fundamental accounting principles.
- Experience taking ownership of multiple functional areas rather than working exclusively within a narrowly defined accounting role.
- Working knowledge of payroll and employee administration.
- Working knowledge of employment law and HR practices, with the judgment to recognize when professional guidance is required.
- Strong proficiency with Microsoft Office, particularly Excel, Word, and PowerPoint.
- Excellent written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
- Strong problem-solving and analytical abilities.
- Ability to manage multiple priorities, establish priorities independently, and meet deadlines.
- Ability to handle sensitive and confidential information with discretion.
- Demonstrated ability to work independently with minimal supervision.
- Strong interpersonal skills and the ability to work effectively with employees and management at all levels.
Preferred Experience
- Experience in a small or midsize business where responsibilities span multiple functional areas.
- Experience with accounting software and payroll systems.
- Experience developing or improving administrative or accounting processes.
- Experience supporting HR functions and employee lifecycle processes.
- Experience working directly with business owners or senior management.
- Experience in construction, landscaping, commercial services, property services, or another field-service business is a plus.
