Position Summary
Timberline Mortgage is seeking an organized, customer-focused Loan Officer Assistant / Transaction Coordinator to support our mortgage loan originators from application through closing. This position plays a critical role in delivering an exceptional borrower experience while ensuring loan files move efficiently through the mortgage process. The ideal candidate is proactive, detail-oriented, thrives in a fast-paced environment, and enjoys working with borrowers, Realtors, builders, title companies, processors, and underwriters.
In addition to hourly compensation, this position is eligible for a per-file bonus for each closed loan processed. The bonus amount will vary based on experience and will be determined at the time of offer. Bonuses are calculated monthly, paid in the following month's payroll, and are subject to applicable taxes.
Essential Duties and Responsibilities
- Assist Loan Officers with new loan applications.
- Collect and organize borrower documentation.
- Review applications for completeness before processing.
- Schedule appointments and follow-up calls.
- Communicate with borrowers throughout the loan process.
- Maintain accurate CRM and LOS records.
- Prepare pre-approval packages.
- Assist with marketing campaigns, open houses, and Realtor events.
- Monitor all active loan files from contract through closing.
- Ensure all contract and lender deadlines are met.
- Order appraisals, title work, insurance, and verifications.
- Coordinate with processors, underwriters, closing departments, Realtors, builders, and title companies.
- Track underwriting conditions and assist borrowers in satisfying outstanding items.
- Prepare closing timelines and coordinate closing appointments.
- Perform final file quality reviews prior to closing.
- Serve as the primary point of contact when Loan Officers are unavailable.
- Provide proactive status updates to borrowers and referral partners.
- Deliver an exceptional customer experience throughout the transaction.
- Resolve issues quickly while maintaining professionalism.
- Organize electronic loan files, maintain accurate pipeline reports.
- Ensure compliance with company policies and regulatory requirements.
- Assist with reporting, scheduling, and office operations as needed.
- Other duties as assigned.
Required Knowledge and Expertise
- High School Diploma required. Associate's or Bachelor's degree preferred.
- Knowledge of residential loan products including Conventional, FHA, VA, USDA, and Jumbo loans preferred.
- Proficiency with standard office software.
- High attention to detail, ability to manage 30-50 active loan files accurately.
- Demonstrated independence, sound judgment, integrity, and professionalism.
- Non-solicitation and confidentiality agreement required prior to start date.

- This position primarily operates in an office setting and involves extended periods of sitting, working on a computer, and communicating with clients and team members. Occasional lifting (up to 20 lbs) and movement within the office may be required.

Actual salaries will vary and may be above or below the range based on various factors including but not limited to location, experience, and performance. The range listed is just one component of the total compensation package for employees. Incentives based on Timberline Team goals may also be offered.
