Automotive Operations Coordinator
(Titles, Floor Plan & Financial Operations)
Reports to: Management | Full-Time, W‑2 | On‑site with limited local travel
POSITION OVERVIEW
Join our family-owned automotive dealership as an Automotive Operations Coordinator. For over sixty years, we’ve built something special, and now we’re continuing to scale our operations to support long-term growth.
This role owns and organizes critical dealership systems—including title work, floor plan administration, and daily financial operations support. You’ll work closely with leadership and play a vital role in keeping our dealership accurate, compliant, and running smoothly.
This role is best suited for someone who enjoys structured work, checklists, and precision.
KEY RESPONSIBILITIES
TITLE WORK MANAGEMENT
Own the end-to-end title process for all dealership inventory
Process titles, registrations, transfers, and liens accurately and on time
Maintain compliant and organized title files
Flag delays or inconsistencies promptly
Ensure compliance with state regulations
FLOOR PLAN & INVENTORY MANAGEMENT
Administer dealership floor plan inventory
Request floor plan loans on qualifying vehicles
Monitor balances, payments, and timelines
Coordinate monthly floor plan audits
Maintain audit-ready records
Enter vehicles and charges into dealer systems
ACCOUNTING & FINANCIAL OPERATIONS SUPPORT
Track dealership expenses accurately
Maintain accounts receivable lists
Assist with budgeting and expense tracking
Support post-sale funding and lender requirements
Enter data into QuickBooks
Assist with monthly accounts payable
ADMINISTRATIVE & OPERATIONAL SUPPORT
Coordinate recurring administrative processes
Prepare documentation and reports
Communicate proactively with leadership
Assist with general office operations
WHAT WE’RE LOOKING FOR
1–2 years of automotive, operations, or administrative experience preferred
Strong attention to detail and organization
QuickBooks experience preferred
Comfort with structured processes and SOPs
Ability to handle sensitive information
Valid driver’s license required
EDUCATION
High school diploma or equivalent (required)
Associate or Bachelor’s degree preferred
Notary a plus but not required
POSITION DETAILS
Hourly Wage: $18–$22 per hour (based on experience)
Schedule: 40 hours/week, Monday–Friday
One half-day Saturday per month
Work Environment: Primarily desk-based with local errands
