Job Title: Staff Accountant
Job Summary:
This role involves close collaboration with the Controller, Accounting team members, project managers and other stakeholders to ensure projects are completed within budget and on time. Additionally, the role includes responsibilities related to payroll processing, new hire onboarding, billing, customer follow-up, purchase order management, job costing, new job setup, and equipment transfers.
Key Responsibilities:
- General Ledger:
- Manage general ledger accounts and ensure timely reconciliations.
- Prepare adjusting and closing entries and responsible for month end close; perform complex reconciliations.
- Investigate accounting irregularities, mistakes or potential fraud
- Prepare and analyze monthly, quarterly, and annual financial reports.
- Assist in budgeting, forecasting, and financial planning.
- Assists with audit workpaper preparation and auditor inquiries
- Cost Accounting:
- Track and manage project costs, including labor, materials, and overhead.
- Prepare and analyze cost reports and financial statements.
- Monitor project budgets and forecast future financial performance.
- Ensure compliance with financial regulations and standards.
- Conduct variance analysis to identify and explain discrepancies.
- Project Coordination:
- Assist in the development of project plans, including timelines, budgets, and resource allocation.
- Coordinate project activities and ensure all team members are aligned with project goals.
- Maintain project documentation, including contracts, invoices, and correspondence.
- Organize and participate in project meetings, preparing agendas and minutes.
- Additional Responsibilities:
- Payroll Process Backup:
- Assist with payroll processing and ensure accuracy and compliance.
- New Hire Backup:
- Support the onboarding process for new hires, including documentation and orientation.
- Billing
- Primarily responsible for generating and managing invoices.
- Follow up with customers to ensure timely payment and resolve any billing issues.
- Purchase Order Backup
- Assist with the creation and management of purchase orders.
- Job Cost Reconciliation
- Conduct job cost reconciliation to ensure accurate tracking of project expenses.
- New Job Setup
- Set up new jobs in the system, including initial budgeting and resource allocation.
- Equipment Transfers
- Assist in the transfer of equipment between project sites, ensuring proper documentation and tracking.
- Credit Card
- Provide credit card receipts and coding to accounting
- Assist with project and general administrative tasks as needed
Skills and Qualifications:
- Educational Background:
- Bachelor’s degree in Accounting, Finance, or 5 years of related field preferred.
- Minimum of High School Diploma or GED
- Valid driver’s license.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team
