Overview
We are seeking a dynamic and highly organized Office admin to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining an efficient workplace, supporting staff, managing office systems, and fostering a professional atmosphere. The ideal candidate will bring strong organizational skills, technical proficiency, and a proactive attitude to handle diverse responsibilities with enthusiasm and precision.
Responsibilities
- Manage office operations, including supply procurement, equipment maintenance, and facility coordination to ensure a productive work environment.
- Assist customers with sales questions
- Serve as the primary point of contact for internal staff, clients, vendors, and visitors, providing excellent customer service and professional front desk support.
- Oversee calendar management and scheduling for executives and team meetings using productivity software such as Microsoft Office and Google Workspace.
- Handle data entry, filing, and record keeping with accuracy and attention to detail; utilize QuickBooks for basic bookkeeping tasks when necessary.
- Maintain multi-line phone systems, answer inquiries with proper phone etiquette, and direct calls efficiently to appropriate departments or personnel.
- Support administrative tasks including proofreading documents, managing correspondence, organizing files, and ensuring timely completion of projects.
- Assist with special projects related to office management or administrative support as needed to enhance overall efficiency.
Requirements
- Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service.
- Willing and open to learn flooring sales.
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and productivity software.
- Experience with QuickBooks or similar bookkeeping software; familiarity with data entry and filing systems.
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Strong communication skills with professional phone etiquette; bilingual abilities are a plus for supporting diverse teams.
- Technical proficiency in operating multi-line phone systems, office equipment, and basic troubleshooting skills.
- Previous experience in front desk or receptionist roles within medical or dental offices is advantageous.
- Personal assistant experience or calendar management expertise is highly desirable.
