Position Summary:
We are seeking a reliable, organized, and service-oriented Human Resources Specialist to support the full employee lifecycle. This role coordinates recruiting activities, onboarding and offboarding, employee records, HRIS administration, benefits support, workers' compensation, unemployment processes, credential and training tracking, compliance activities, employee relations support, and Human Resources initiatives.
The Human Resources Specialist will be a stable and neutral resource for employees and leaders. The ideal candidate applies policies consistently, protects confidentiality, communicates clearly, documents thoroughly, and understands when to resolve a routine issue, when to gather additional facts, and when to escalate to Human Resources leadership.
Key Responsibilities:
Essential ResponsibilitiesRecruiting and Workforce Support
· Partner with Human Resources and department leaders to understand open positions, changing staffing priorities, required qualifications, and target timelines.
· Post approved job openings, review applications against established criteria, conduct or coordinate initial candidate screening, and schedule interviews.
· Provide timely, professional candidate communication throughout the recruiting process and maintain accurate applicant and interview records.
· Support pre-employment steps and document collection as assigned, ensuring required approvals and information are complete before onboarding.
· Maintain recruiting trackers and provide regular status updates on openings, candidate flow, interview progress, and unresolved barriers.
· Build and maintain effective relationships with branch departments so recruiting efforts reflect real operational needs and priorities.
· Support recruiting events, outreach, job-description updates, and process-improvement initiatives as assigned.
Onboarding, Employee Changes, and Offboarding
· Coordinate a complete, timely, and welcoming onboarding process, including orientation scheduling, new-hire documentation, system setup coordination, and communication with the hiring department.
· Maintain accurate records for new hires, rehires, employee changes, leaves, and terminations in accordance with established procedures.
· Enter, update, and audit employee information in the company HRIS, including Paylocity, and follow approval processes for changes affecting payroll, benefits, or access.
· Track outstanding onboarding requirements and follow up with employees and managers until assigned items are complete.
· Coordinate offboarding administration, including required documentation, system and department notifications, benefits information, and record updates.
· Partner with payroll, billing, operations, clinical, staffing, and other departments to ensure employee changes are communicated accurately and on time.
Qualifications:
- High school diploma required; associate or bachelor’s degree preferred
- 1–3 years of administrative or HR experience (healthcare preferred)
- Strong organizational and multitasking skills
- Excellent communication and customer service abilities
- Proficiency in Microsoft Office and basic office systems
- Ability to handle confidential information with discretion
- Friendly, professional demeanor and strong attention to detail
