Position Summary
Octagon Cleaning & Restoration is seeking a detail-oriented, highly organized Administrative Assistant to support the day-to-day operations of our Windham branch. Working directly alongside the Branch Manager, you will serve as a critical operational hub — managing communications, coordinating schedules, supporting client interactions, and ensuring the branch runs efficiently. Key Responsibilities
- Provide direct administrative support to the Branch Manager, including scheduling, correspondence, and follow-up coordination
- Serve as a point of contact for Windham branch clients — handling inquiries, relaying information, and ensuring a professional, responsive experience
- Maintain organized records, files, and documentation related to active projects, estimates, and work authorizations
- Assist with coordination of project documentation, including intake forms, work authorizations, and status updates
- Support scheduling and dispatch coordination in collaboration with the Branch Manager and Project Managers
- Manage incoming calls, emails, and office communications with professionalism and urgency
- Track open action items and help ensure nothing falls through the cracks across branch operations
- Assist with data entry and reporting, including CRM updates and job tracking
- Order and manage office supplies and general branch administrative needs
- Assist with on-boarding coordination and preparation of materials for new hires as needed
Qualifications
- 2+ years of administrative or office support experience; prior experience in a construction, trades, or restoration environment is a plus
- Excellent organizational skills with a strong attention to detail
- Professional verbal and written communication skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook); familiarity with CRM platforms a plus
- Ability to manage multiple priorities and adapt quickly in a dynamic environment
- Strong interpersonal skills and a client-first mindset
- Reliable, punctual, and committed to being a team player
