Catholic Charities Legal Services, Archdiocese of Miami, Inc. (hereafter “CCLS”) is a non-profit organization that represents low-income immigrants without reference to their race, religion, gender, ethnic group, or other distinguishing characteristics. CCLS seeks a paralegal professional to work with our Virtual Immigration Access (VIA) Program.
The VIA Paralegal supports the Virtual Immigration Access (VIA) Program through a hybrid, tech-enabled service model that requires high-volume coordination, strong client communication, and careful data/document management. The paralegal will serve as a primary point of contact for VIA clients and provides end-to-end case support to attorneys and program staff—from intake through filing and follow-up—while ensuring service quality, confidentiality, and timely execution.

Duties:
- Serve as the first point of contact for VIA inquiries, managing calls, emails, and consultation requests with professionalism and cultural sensitivity.
- Conduct client intakes and follow-up interviews (virtual and in-person), ensuring accurate and complete biographic and eligibility information.
- Schedule consultations and support clients in navigating the virtual service process (links, document upload instructions, tech readiness, reminders).
- Maintain consistent client follow-up, including requests for missing documentation, appointment reminders, and interview preparation communications.
- Support attorneys in preparing, reviewing, and filing immigration applications and related relief requests, including assembling organized filing packets and supporting evidence, using electronic tools as necessary.
- Create and maintain case files in the case management system; complete data entry, scanning, and record updates; and draft routine correspondence and client notices.
- Track case milestones and deadlines, maintain detailed case notes, and coordinate submissions and deliveries to relevant agencies in accordance with program standards.
- Manage secure document collection and organization using digital upload portals, SharePoint, and other approved platforms; ensure naming conventions, version control, and complete file integrity.
- Troubleshoot basic client-facing tech barriers (upload access, virtual appointment links, device readiness) and escalate issues appropriately to maintain workflow continuity.
- Ensure compliance with confidentiality, data security, and recordkeeping requirements across all systems and communications.
- Provide interpretation/translation support as needed in Haitian Creole, Spanish, or other languages (as applicable), and help ensure clients receive clear instructions and culturally competent support.
- Assist in planning, executing and staffing community outreach, Know Your Rights (KYR), and clinic events, including registration, logistics, document preparation, and hybrid/virtual session support.
- Help develop and maintain outreach materials, virtual resource guides, and client-ready instructions (e.g., pro se tools, document checklists, how-to guides).
- Track outreach participation, referrals, and basic engagement metrics to support reporting and program improvement efforts.
- Coordinate closely with supervising/assigned attorneys, paralegals, and operations staff to ensure smooth handoffs, consistent client experience, and timely case progression.
- Participate in ongoing process improvements to strengthen VIA’s virtual/hybrid service delivery model and increase efficiency and access.
Qualifications:
- Experience working as a paralegal preferred.
- Demonstrated interest in collaborating with marginalized communities also preferred.
- Multilingual, including reading and writing, in Haitian-Creole, Spanish and English Preferred.
- Computer literacy including ability to type and input data in various programs including Excel.
- Must have excellent communication skills, organizational skills, self-motivation, and an ability to work collaboratively with others; and
- Must be adept at interacting with a wide variety of people and comfortable working in a busy, open work environment.
