We are seeking a highly organized, client-focused Client Service Specialist to join our growing wealth management practice in Annapolis, Maryland. This key role serves as the administrative and operational backbone of our office, helping create outstanding client experiences while supporting our financial advisors and team members.
The ideal candidate is detail-oriented, proactive, professional, and able to manage multiple priorities in a fast-paced environment. You will play an integral role in strengthening client relationships, maintaining operational excellence, and contributing to the continued growth of the practice.
Key Responsibilities:
Client Experience & Relationship Management
- Welcome clients and guests with warmth, professionalism, and exceptional hospitality.
- Conduct appointment reminder calls and post-meeting follow-up calls.
- Respond to client inquiries promptly and professionally.
- Assist with resolving client service requests and outstanding issues.
Appointment & Meeting Coordination
- Schedule appointments for clients and prospective clients.
- Prepare meeting agendas and ensure all necessary documents and forms are available prior to appointments.
- Coordinate meeting logistics and advisor calendars.
Practice Operations
- Maintain and update client records within the firm's CRM and client management systems.
- Assist advisors with financial planning data gathering, plan maintenance, and client outreach.
- Answer incoming calls and direct inquiries to appropriate team members.
- Support office operations and administrative projects as needed.
Event Coordination
- Help plan, coordinate, and execute client appreciation events and educational workshops.
- Assist with event communications, registrations, and logistics.
Ad Hoc Duties: Perform other duties as assigned, contributing to the overall success of the practice.
