We’re looking for a versatile Administrative Assistant to join our team full-time, in office. In this role, you’ll be at the heart of our day-to-day operations, keeping things running smoothly both in the office & out in the field.
You’ll support our project staff, help keep everything organized, and be a go-to person for communication. If you’re someone who enjoys staying on top of details, jumping in to help wherever needed, and making sure everyone has what they need to succeed, this could be a great fit for you.
This is a full-time, 40-hour-per-week, in-office role with a standard schedule of 6:30 AM–3:00 PM, with some flexibility. The pay range for this role begins at $20 per hour. The final offer will be determined based on your relevant experience and qualifications.
What You'll Do
- Provide general administrative support to the team -- including tasks like;
- submitting weekly certified payroll reports
- reviewing and correcting timesheets
- scanning financial documents
- managing expense reports for the team
- receiving and dropping off local mail
- answering company phone calls & taking messages for the team as needed
- Generate and organize project documentation as needed — you’ll help maintain files for subcontractors, certificates of insurance, compliance documents, and anything else project-related.
- Provide support for assigned activities and all phases of a commercial construction usually through administrating, organizing, planning, scheduling, coordinating, and monitoring processes.
- Take the lead on coordinating travel for the team — from researching accommodations & areas/neighborhoods to booking flights and making sure everyone has what they need to check in. You’ll also be the go-to person if any travel hiccups pop up while the team’s on the road.
- Assist with proposal packages by gathering and preparing supporting documents.
- Print out jobsite plan pages (and detail sheets, when needed), and coordinate with Field Team Members to ensure they pick them up and use them for mark-ups.
- Package and organize job-specific product data sheets and plan pages.
- Jump in to help with other tasks as assigned — you’re flexible, helpful, and always ready to support the team.
Who You Are:
- You have 2+ years of experience in an office or administrative support role - even better if it’s been in the construction or government sector.
- You're comfortable with technology and have experience using Microsoft Office (Word, Excel, Sharepoint, Outlook) and Adobe Pro.
- You have experience with accounts receivable, to include receiving, inputting, and filing invoices on commercial projects.
- You are proficient in filling out construction pay applications, conditional/unconditional lien waivers.
- You have hands-on experience with Microsoft, Outlook and Quickbooks.
- You’re a quick thinker and have the ability to re-prioritize efficiently.
- You’re someone who takes initiative, stays organized, and likes to stay one step ahead.
- You’re detail-oriented and take pride in producing accurate, complete, and error-free work.
- You're reliable, professional, and bring a positive, can-do attitude to the team — and you're always eager to learn & help.
- You have reliable transportation and active auto insurance for local travel when needed.
- You hold a valid driver’s license and have a strong driving record.
- You can pass a background check to gain access to a military base.
- You may have experience working with Paychex, builder trend, Points North, LCP Tracker, or government/military clients — if so, that’s a big plus!
You'll receive 10 days of paid time off (PTO) each year (accrued), plus 7 paid company holidays.
