Job Summary:
We are seeking a detail-oriented and organized Office Assistant to support daily operations at our office. The ideal candidate will assist with administrative tasks, maintain accurate records, coordinate communication between field crews and management, and help ensure projects run smoothly and efficiently.
Key Responsibilities:
- Perform general office duties including answering phones, managing emails, filing, scanning, and organizing paperwork
- Maintain project files, permits, and documentation related to projects (e.g., dredging, bulkhead repair, dock installation)
- Assist with scheduling and coordination of inspections, subcontractors, deliveries, and equipment
- Support purchasing by creating purchase orders, tracking supply inventory, and coordinating with vendors
- Prepare reports, memos, and correspondence as needed
- Track timecards and assist with payroll reporting for field crews
- Communicate professionally with clients, contractors, and local/state agencies
- Perform data entry and maintain project management software systems
Qualifications:
- High school diploma or equivalent; additional administrative or construction-related coursework is a plus
- 1–2 years of office administration experience (preferred)
- Familiar with QuickBooks
- Strong computer skills, including MS Office (Word, Excel, Outlook)
- Excellent organizational, communication, and multitasking abilities
- Familiarity with construction terminology and documentation is a plus
- Ability to work in a fast-paced environment and adapt to shifting priorities
- A valid driver's license may be required for site visits or errands
