Position Summary
The Inside Sales Team Member supports the successful execution of custom door and window projects by assisting Project Coordinators and internal teams with project documentation, communication, coordination, and administrative processes. This role helps maintain organization, accuracy, and responsiveness throughout all phases of a project while contributing to a high level of customer service and operational efficiency.
This team member serves as a key internal resource working closely with Project Coordinators, Engineering, Drafting, Production, and Logistics teams. This role is designed for someone who is detail-oriented, adaptable, proactive, and thrives in a fast-paced, team-driven environment.

Role-Specific Responsibilities
Project & Administrative Support
- Assist Project Coordinators with day-to-day project support activities from quote through final order processing.
- Prepare, organize, and maintain project documentation, customer correspondence, reports, and internal communications.
- Help manage project files, revisions, approvals, and supporting documentation within CRM and internal systems.
- Support scheduling, meeting coordination, and project follow-up tasks as needed.
- Monitor open tasks and help ensure timely completion of project-related action items.
Customer & Internal Communication
- Serve as a support point of contact for customer inquiries regarding project status, lead times, product information, shipping updates, and documentation requests.
- Communicate professionally and proactively with customers, dealers, builders, architects, designers, and internal departments.
- Route questions and concerns appropriately while helping facilitate timely responses and issue resolution.
- Support a positive customer experience through responsiveness, organization, and attention to detail.
Documentation & Accuracy
- Review project information for completeness and accuracy prior to order processing.
- Ensure revisions, approvals, specifications, and supporting documents are updated and communicated properly.
- Verify dimensions, finishes, configurations, and order details as directed by Project Coordinators.
- Maintain organized and accurate records within CRM, quoting systems, and shared project folders.
Internal Collaboration
- Work closely with Project Coordinators, Engineering, Drafting, Production, and Logistics teams to support project execution.
- Communicate proactively regarding project updates, missing information, schedule concerns, or process issues.
- Assist team members where needed to support department goals and maintain workflow efficiency.
Product Knowledge & Continuous Learning
- Develop and maintain a working knowledge of Upstate Door product lines, custom options, terminology, and processes.
- Continue learning internal systems, workflows, and best practices to improve overall effectiveness.
- Support continuous improvement efforts focused on communication, organization, and operational efficiency.
Qualifications
Education
- High school diploma or equivalent required.
- Associate or bachelor’s degree in business, communications, construction management, or related field is a plus.
- Relevant education, training, or practical experience preferred.
Experience
- 1–3 years of experience in customer service, administrative support, sales support, project coordination, or related role preferred.
- Experience in custom manufacturing, construction, millwork, windows/doors, or building products is a plus.

Working Conditions

Pay: $18.00 - $24.00 per hour
