Job Summary
We are seeking a professional and organized Front Desk Receptionist to serve as the first point of contact for our office. The ideal candidate will possess excellent customer service skills, strong organizational abilities, and proficiency with office management tools. This role involves managing front desk operations, handling multi-line phone systems, and providing administrative support to ensure smooth daily operations. Bilingual skills and experience with medical or dental office procedures are a plus. The successful candidate will demonstrate exceptional communication, multitasking capabilities, and a friendly demeanor to create a welcoming environment for clients and staff alike.
Responsibilities
- Greet visitors and clients in a courteous and professional manner, ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
- Handle data entry, filing, and document proofreading with high accuracy
- Maintain organized records of client information, appointments, and correspondence
- Assist with billing, bookkeeping, and basic QuickBooks tasks as needed
- Support office management activities including supply inventory and general administrative duties
- Provide exceptional customer service support by addressing inquiries promptly and professionally
- Ensure the reception area remains tidy, welcoming, and efficiently organized
Experience
- Prior office management or administrative experience preferred, including clerical roles or receptionist positions in medical or dental settings
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems and customer support roles
- Familiarity with QuickBooks or bookkeeping software is advantageous
- Bilingual abilities are highly desirable to serve diverse clientele effectively
- Strong organizational skills with attention to detail in data entry, proofreading, and filing tasks
- Excellent communication skills including phone etiquette and customer service expertise
- Ability to manage time effectively in a fast-paced environment while maintaining professionalism
