The Role
This is a one-of-a-kind position — and one of the most important seats in our clinic. You'll be the person who makes sure every visit note is polished and complete, every follow-up task actually gets done, and nothing slips through the cracks. Part documentation specialist, part phlebotomist, part the-glue-that-holds-it-all-together.

What You'll Do
Clinical Documentation
- Take provider-dictated visit notes from our AI transcription tool and transfer them into our EHR
- Format each note into a clean, complete, professional record — reviewing for accuracy and flagging anything missing
- Prep notes for provider sign-off and make sure every note is finalized and signed by the end of the week
Task Coordination & Fulfillment
- Pull action items out of each visit note — prescriptions to send, referrals to place, orders to enter — and make sure each one gets done
- Screen incoming patient messages and route or resolve them promptly
- Own the follow-through so nothing falls through the cracks, from documentation to fulfillment
Phlebotomy & Lab Support
- Assist our nursing team with blood draws
- Process, label, and prepare labs and specimens
What We're Looking For
Required
- Phlebotomy experience with confident, skilled venipuncture
- Strong medical documentation skills and a solid grasp of medical terminology — you can read a clinical note and catch what's missing
- Comfortable working in an EHR and quick to learn new clinical systems
- Exceptionally organized with relentless follow-through — the kind of person who closes every loop
- Warm, professional communicator, especially in patient messaging
- Sound judgment, discretion, and a solid understanding of HIPAA
Preferred / Bonus Points
- Certified Phlebotomy Technician (CPT), Medical Assistant (CMA/RMA), or scribe certification
- Experience in functional or integrative medicine and with functional lab panels (e.g., GI-MAP, DUTCH, micronutrient testing)
- Familiarity with CharmHealth or a comparable EHR
- Experience ordering labs through DLO/ Quest
