Front Desk Coordinator / Patient Care Coordinator
Velocity Physical Therapy & Wellness Clinic is seeking an organized, motivated, and compassionate Front Desk Coordinator to be the welcoming face of our practice. This position plays a vital role in creating an exceptional patient experience while ensuring the daily operations of the clinic run smoothly and efficiently.

Primary Responsibilities :
Patient Experience
- Greet patients warmly and create a positive first impression.
- Answer incoming phone calls professionally and efficiently.
- Schedule, reschedule, and confirm patient appointments.
- Check patients in and out while ensuring all required information is current and accurate.
- Collect co-pays, outstanding balances, and other patient payments.
- Maintain patient confidentiality and comply with HIPAA guidelines.
- Help maintain an organized and welcoming reception area.
Administrative Duties
- Complete new patient intake and ensure all required paperwork is received.
- Verify insurance benefits and obtain prior authorizations as needed.
- Maintain accurate patient demographics and insurance information.
- Assist with the daily flow and efficiency of the clinic.
- Order and maintain office and clinical supplies.
- Prepare and distribute the clinic's monthly newsletter.
- Compile monthly reports, statistics, and business metrics.
- Assist with miscellaneous administrative projects as assigned.
Technology & Organization
- Become proficient with the clinic's electronic medical record (EMR), scheduling, and practice management software.
- Maintain organized digital and paper records.
- Utilize Microsoft Excel, spreadsheets, and reporting tools with confidence.
- Identify opportunities to improve office systems and workflow.
Preferred Additional Skills
- Knowledge of physical therapy insurance billing and claims processes.
- Familiarity with medical terminology.
- Experience working in a physical therapy, chiropractic, orthopedic, or other outpatient healthcare setting.
- Ability to assist with insurance follow-up or billing functions is a strong bonus.
