This position facilitates multiple facets of all calls/losses from beginning to end. The previous experience and proficiency listed in an application will provide an idea for placement on our team.

Position Summary:
The Job File Coordinator is responsible for efficiently managing incoming calls, maintaining the schedule, dispatching crews to job sites, handling email correspondence, creating customer files, assisting their direct manager with all tasks as needed, maintaining the office workspace, and performing other duties as assigned. This role is crucial for ensuring smooth operations and effective communication within the team and with clients.
Key Responsibilities:
Call Management:
o Answer and handle incoming calls professionally and promptly.
o Provide information, take messages, and redirect calls as necessary.
Scheduling and Dispatch:
o Maintain the daily schedule for crews and coordinate their dispatch to job sites.
o Ensure all job site visits are timely and efficiently organized.
o Communicate any changes or updates to schedules to relevant parties.
Email Correspondence:
o Manage and respond to email communications promptly and professionally.
o Handle customer inquiries, follow-ups, and other correspondence.
Data Entry:
o Support with entering job information correctly into data bases to ensure quality documentation and accuracy.
o Collaborate with estimators and project managers to gather necessary information.
Office Maintenance:
o Maintain a clean and organized office workspace.
o Ensure office supplies are stocked and equipment is functioning properly.
Administrative Support:
o Assist with documentation, data entry, job coordination and record-keeping.
o Perform other administrative duties as assigned by management.
Qualifications:
o High school diploma or equivalent; additional education or certification in office administration is a plus.
o Proven experience in an administrative or coordination role, preferably in a related industry but not required.
o Excellent verbal and written communication skills.
o Strong organizational and multitasking abilities.
o Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
o Ability to work independently and as part of a team.
o Reliable and punctual with a strong work ethic.
o Knowledge of water damage mitigation processes is a plus but not required.
Working Conditions:
o Office environment
o Regular working hours, with the potential for occasional overtime based on workload and emergency situations.
Job Requirements:
o Experience in Customer Service
o Great time management
o Experience with Xactimate preferred but not required
o Experience in mitigation is preferred but not required
o Personal time management and organizational skills
o Strong verbal and written communication skills
o Dependable and adaptable to operate within a fast-paced work environment
o Ability to manage highly confidential information
o Strong problem-solving skills
Job Type: Full-time
Expected hours: 35 – 40 per week
Salary/Rate of Pay: $18 -$20 per hour

We're looking for a welcoming experience from an upbeat professional with coffee and refreshments provided for all and responsible for greeting employees, clients, and visitors to our office. You will oversee fulfilling customer inquiries, answering phones, taking messages, sorting, and distributing mail. Transcribing hardcopies to digital documents, online system organization, and record filings are to be prioritized and/or delegated as needed.
Education and Background
This position requires a high school diploma or equivalent. A degree of secondary education is preferred. A non-violent, non-theft background is minimally required to work for Dry Out Systems, Inc.
