Level 10 Title is a growing, high-volume title company in West Palm Beach, Florida. We run a clean, well-documented closing operation where every file tells its own story and every team member knows exactly what they own. We are looking for a detail-obsessed coordinator to own the final — and most visible — stage of every closing.
About the Role
You own the file from the moment it is marked Ready to Schedule through closing day, funding, post-closing, and file closeout. You are the person our buyers, sellers, and agents see at the closing table, and the one who makes sure closing day feels effortless — because you prepared everything the day before.
What You'll Do
- Schedule closings within 48 hours of a file being marked Ready to Schedule.
- Facilitate in-office signings and closings: greet buyers, sellers, and agents, prepare the closing room, walk signers through the package, and make closing day a great experience.
- Coordinate buyer, seller, agent, lender, attorney, notary, mobile notary, and RON (remote online notarization) appointments.
- Set up all e-sign appointments and documents.
- Print closing packages and QR codes so packages are ready the day before closing.
- Answer incoming phones and provide friendly, professional customer service.
- Collect escrow checks in office, provide receipts, save copies in our system, and deposit and post checks.
- Scan executed closing documents into our title software (Qualia) and separate funding documents correctly.
- After funding is authorized by management: complete funding actions, print checks, send wires, deliver signed closing documents through the secure portal, and process FedEx/UPS/USPS shipments.
- Follow lender instructions for returning original notes and lender packages.
- Mail lender final policies and email buyer owner policies and deeds after recording.
- Close out files cleanly and handle basic office management and administrative support.
What Success Looks Like
- Closings are scheduled quickly and accurately — no bottlenecks after Ready to Schedule.
- Packages, QR codes, labels, and shipping are ready before the closing, never a fire drill.
- In-office signings run smoothly and clients leave impressed.
- Funding actions are completed only after authorization and are documented in the file.
- Lender packages go to the right place with the right documents the first time.
- Files are closed out cleanly with nothing left dangling.
What We're Looking For
- Exceptional attention to detail and follow-through — this role lives and dies on the details.
- Strong organization and the ability to juggle multiple closings and deadlines at once.
- Warm, professional customer service skills in person, on the phone, and by email.
- Title, escrow, real estate, mortgage, or banking experience preferred — but we will train the right person.
- Experience with Qualia title software is a plus.
- Florida notary commission required, or willingness to obtain one within 60 days of hire (we'll cover the cost).
- Comfortable with technology: e-signing platforms, scanning, shipping systems, and standard office software.
Compensation & Benefits
- $50,000 per year starting salary
