About the role:
The Air Export Coordinator is responsible for managing the end-to-end movement of international air freight shipments, ensuring timely and compliant delivery while providing exceptional customer service. This role serves as the primary liaison between domestic customers, overseas agents, and internal teams, coordinating shipment documentation, customs compliance, carrier and trucking arrangements, and shipment tracking. The position requires strong organizational and communication skills, attention to detail, and the ability to proactively resolve issues related to documentation, transportation, and regulatory compliance. Experience with air exports, domestic trucking (LTL, FTL, and overweight freight), Incoterms, and freight forwarding operations is preferred, while familiarity with CargoWise is a plus.
KEY RESPONSIBILITES:
- Plans and directs flow of air traffic moving to overseas destinations;
- Opens files for each shipment on the dedicated software system;
- Negotiates with domestic customers, as intermediary for foreign customers, to resolve problems and arrive at mutual agreements;
- Examines invoices and shipping manifests for conformity to tariff and customs regulations;
- Prepares reports of transactions to facilitate billing of shippers and foreign customers;
- Examines documents such as invoices, bills of lading, and shipping statements, to verify conversion of merchandise weights or volumes into system used by other country;
- Is responsible for moving shipments on time;
- Files documents in an accurate manner;
- Is responsible for all air export operation rate negotiations, forwarding, consolidations, documentation, pre-alerts, tracing, customer service, quotations to foreign offices and customer quotes;
- Assures that all dangerous goods shipments are handled according to regulations;
- Assists customers in compliance issues; certification; physical inspection and arrangements for dangerous goods packaging in compliance with regulation
- Track and communicate shipment delays or documentation issues to our clients and overseas agent(s)
- Providing support to fellow associates, supervisors, and department managers as necessary
KNOWLEDGE, SKILLS, QUALIFICATIONS:
- 1+ year of Air operations experience preferred.
- Effective interpersonal skills, including proven ability to listen, comprehend effectively, and communicate clearly and concisely to obtain positive results
- Proactive and strong organization skills
- Good Microsoft Office and computer skills
- Excellent written and verbal communication skills.
- Thorough knowledge of domestic trucking including LTL, FTL and overweight cargo, incoterms
- Cargowise experience is a plus
