Position Overview
Catalyst Event Rentals is seeking a highly organized, detail-oriented, and proactive Logistics Operator to oversee the operational coordination of rental orders from the initial order handoff through delivery, installation, and pickup.
This role serves as a central communication point between the Catalyst sales team, warehouse, delivery crews, venues and clients, ensuring that every order is accurate, clearly communicated, properly scheduled, and executed according to client expectations.
The Logistics Operator will work on every rental order that comes through Catalyst, making this a critical role in the day-to-day operation of the company. The ideal candidate is an excellent communicator who thrives on organization, problem-solving, and follow-through. They should be comfortable managing multiple events simultaneously while keeping details, timelines, and team communication organized.
This position also includes hands-on operational support and requires someone who is willing to step in wherever needed to help the team successfully execute events.
KeyResponsibilities
Order & Logistics Management
- Serve as the primary operational point of contact for rental orders after they enter the logistics process
- Review every order for accuracy, completeness, and operational feasibility
- Coordinate delivery and pickup schedules based on event timelines, locations, crew availability, and order requirements
- Review order details and identify potential issues or missing information before the event
- Confirm delivery addresses, venue details, access information, setup requirements, contact information, and event timelines
- Ensure all special instructions, changes, and client requests are clearly documented and communicated
- Maintain accurate and up-to-date order information throughout the entire logistics process
- Coordinate last-minute order changes, additions, removals, and scheduling adjustments
- Ensure orders are properly prepared for warehouse and delivery teams
Internal Team Communication
- Act as the communication bridge between Sales, Logistics, Warehouse, Delivery Crews, and Leadership
- Clearly communicate order details and event requirements to the appropriate team members
- Ensure the warehouse and delivery teams have the information needed to successfully execute each order
- Communicate changes or issues quickly and clearly to the appropriate departments
- Participate in daily and weekly logistics planning
- Help identify potential conflicts, scheduling issues, or operational challenges before they impact an event
- Maintain strong communication between office and field teams throughout event execution
Client Communication
- Communicate directly with venues/clients regarding delivery, pickup, installation, and logistical details
- Confirm event timelines, delivery windows, venue access, setup requirements, and other operational details
- Respond to venue and client questions and requests in a timely and professional manner
- Provide clear expectations regarding delivery, setup, pickup, and rental logistics
- Communicate schedule changes or operational issues with clients as needed
- Maintain a professional and helpful client experience throughout the logistics process
Operations Support
- Assist with event deliveries, installations, and teardowns as needed
- Support warehouse operations during high-volume periods
- Assist with loading and unloading rental equipment
- Help ensure orders are pulled, staged, loaded, and returned accurately
- Collaborate with warehouse and delivery teams to maintain organization and efficiency
- Assist with inventory organization and readiness
- Step into operational roles when additional team support is needed
Problem Solving & Event Execution
- Serve as a point person for resolving day-of operational issues
- Quickly identify and communicate problems affecting an order or event
- Coordinate solutions between clients and internal teams
- Assist with last-minute changes and unexpected event needs
- Maintain composure and professionalism in a fast-paced environment
- Follow through on issues until they are fully resolved
Qualifications
- Experience in logistics, operations, customer service, event rentals, event planning, or a related field preferred
- Exceptional organizational and communication skills
- Strong attention to detail and accuracy
- Ability to manage multiple orders, events, and deadlines simultaneously
- Excellent follow-through and accountability
- Comfortable communicating with venue staff, clients and internal team members
- Strong problem-solving and decision-making skills
- Ability to work effectively in a fast-paced environment
- Comfortable using computers, email, scheduling systems, and order management software
- Willingness to perform both administrative and physical work
- Ability to lift, move, load, and unload rental equipment as needed
- Team-oriented with a flexible, proactive, and can-do attitude
- Valid driver’s license preferred
Work Environment
- Combination of office, showroom, warehouse, and on-site event environments
- Primarily an 8:00 AM–4:00 PM position with a rotating Monday–Friday / Monday + Wednesday–Saturday schedule
- Hybrid role requiring both desk-based coordination and physical operational support
- Fast-paced environment with multiple events and deadlines occurring simultaneously
- Frequent communication with clients, coworkers, warehouse staff, delivery crews, and leadership
- Some work will take place in varying weather and outdoor event environments
