What You’ll Do
- Guest Engagement: Providing our guests with top-notch customer service, being mindful, professional, friendly, and accommodating to their request.
- Menu Knowledge: Being fully conversant with all property and special event menus.
- Admin Support: Administrative support to Sales & Marketing Teams
- Teamwork: Must be able to work well in a team environment

Reservations and Guest Relations
- Handle all incoming reservation and guest service inquiries via phone, email, and in-person promptly and professionally.
- Regularly check and respond to voice messages from guests, ensuring timely and courteous callbacks.
- Manage and Monitor RSVP emails.
- Manage reservation requests for hotel bars, restaurants, rooftop lounges, including regular reservations for groups up to 12 guests, based on availability.
- For reservation requests for groups of 12 guests or over, send each property’s private dining / large party menus, obtain selections, payment, generate and distribute the TS event order * In accordance with individual property specific guidelines
- Coordinate closely with venue F & B Managers to confirm reservation details, special requests and group bookings.
- Maintain detailed guest preference records and feedback to enhance personalized service and guest satisfaction.
- Use reservation software to track, update, and optimize seating availability and reservation schedules.
- Coordinate with Third Party platforms such as OpenTable, Pulsd, Groupon, Eventbrite, in processing guest receipts and managing refund requests, ensuring timely guest responses and accurate record keeping.
- Collect and accurately record guest contact information, including emails and phone numbers, to facilitate confirmations and future communication.
- Support front-of-house F & B teams during peak times by assisting with guest greetings and seating arrangements.
- Support property F & B leaders as needed during open staffing calls.
Marketing & Social Media
- Coordinate and communicate with graphic designers on basic tasks including but not limited to promotional fliers and newsletters.
- Collaborate with sales and marketing team to support and coordinate promotional bookings and special events.
- Monitor, respond to, and manage guest reviews across online platforms, ensuring timely and professional engagement and collaborating with property teams to enhance guest satisfaction.
- Compile and send out weekly guest reviews reports to management, highlighting feedback trends and areas for improvement.
- Coordinate third party software relationships under guidance of area marketing manager with programs including but not limited to TripleSeat, Google, OpenTable, Seven Rooms, Resort Pass, Resy, etc.
- Print and distribute in-house marketing materials such as table tents and flyers for activations and promotions as a joint effort with property F & B leaders.
- Respond to requests from property leaders for menus and / or paper supplies for restaurants, lounges, bars, rooftop and private events.
- Receive updates to menus from property leaders highlighting current offerings and promotions. Make edits and adjustments, ensuring each page is time stamped and forward to property leaders to print
- Ensure each venue’s hours of operation are always updated on all websites.
- Prepare annual and monthly performance decks in advance of presentation to Hotel partners.
- Update each property’s marketing calendar in advance of recurring marketing calls.
- Prepare initial One-Sheets and forward to Operational team.
Administrative
- Ensure daily tracking of private event revenue collected in TripleSeat matches Aloha postings. Escalate any discrepancies immediately to the property’s F & B leader.
- Enter records on property tracking grid and scan back up onto the shared drive in accordance with monthly audit.
- Assists with VIP guests and clients by supporting calendar invitations & VIP site alerts as well guest research.
- Prepare, print and distribute banquet event orders, that mainly pertain to large party reservations and small parties.
Miscellaneous Duties
- Attend meetings, training sessions, or courses as required.
- Provide support to colleagues for related tasks as necessary.
- Continuously seek opportunities to learn and improve marketing knowledge.
- Undertake any reasonable requests from management.
- Assist with any AdHoc projects as assigned.
- Uphold all health, safety, and hospitality standards in guest interactions and venue presentation.
Health and Safety
- Report potential and real hazards immediately and assist in rectifying issues.
- Ensure a safe working environment by complying with health, safety, and emergency procedures.
- Promote awareness of health and safety in all marketing-related tasks.
Qualifications
- Bachelor’s degree in Hospitality, Hotel Management, or related field
- Previous experience in reservations, guest services, or front-of-house hospitality roles preferred.
- Excellent verbal and written communication skills in English with strong attention to detail.
- Proficient with reservation management systems (e.g., OpenTable, SevenRooms, TripleSeat, ResortPass, Resy) and Microsoft Office/Google Workspace.
- Experience managing online reviews and guest feedback platforms preferred.
- Highly organized with the ability to multitask effectively in a fast-paced environment.
- Strong customer service orientation, able to handle difficult situations with professionalism and tact.
- Flexibility to work evenings, weekends, and holidays as required.
- Passion for hospitality and creating memorable guest experiences.
- Proficiency in GoogleWorkspace or Office365
Other Requirements
- Must possess a flexible and varied schedule to accommodate business demands, including weekends and Holidays.
- Exceptional guest service orientation.
- Skilled knowledge of food, wine and spirits preferred.
- Excellent verbal communication skills in Spanish is a plus.
- Passionate about hospitality, food, and beverage industries.
- Knowledge of social media platforms and marketing tools (e.g., Canva, Adobe Creative Suite, Mailchimp).
- Basic understanding of analytics tools (e.g., Google Analytics, social media insights).
- Creative mindset and detail-oriented approach.
- Personal appearance and professional dress required.
