The role
We're hiring a Project Manager & Executive Business Partner to own internal operations coordination, drive project management across our commercial ops, and provide executive support to our Managing Partner.
You'll report to our Managing Partner (solid line) and work closely with our Senior Manager of Commercial Operations (“SMCO”) (dotted line, weekly cadence). About 50% of your time will be project management and operations coordination, about 30% executive support, and about 10% invoice and financing management and 10% team-wide scheduling and meeting support. Weights flex by week.
This role is for someone who loves making things run smoothly — keeping our trackers clean, driving follow-ups across suppliers and partners, building the automations that keep things from slipping through the cracks, and taking execution work off the Managing Partner's plate. The candidate must be proficient with utilizing AI and big plus for experience with HubSpot CRM and Notion (our internal tracking and PM tool).
What you'll do
- Lead and coordinate multiple projects simultaneously, ensuring timely delivery, resource allocation, and stakeholder communication.
- Develop detailed project plans, set milestones, and monitor progress to meet organizational goals.
- Maintain and update our commercial operations trackers (invoice, logistics, contracts, projects) so the team can make decisions from clean, audit-ready data
- Coordinate with suppliers, logistics partners, and internal stakeholders on deliverables, documentation, and open items — operating as a first point of contact so our SMCO doesn't have to lead every exchange
- Build and maintain automations across Notion, Slack, Gmail, and Google Docs — deadline reminders, missing-data flags, status notifications
- Create, send and follow up on invoices for project
- Manage the Managing Partner's inbox, calendar, and task list
- Provide scheduling support to the operations, sales, and engineering teams
- Monitor company-wide AI meeting summaries and key Slack channels to catch action items before they're dropped
- Contribute opinions and ideas in ops brainstorms with the SMCO
What we're looking for
- 4–6 years of experience as a Project Manager, Executive Assistant, Business Partner, Operations Coordinator, Project Coordinator, Chief of Staff or similar role
- At least 2 years directly supporting a founder or senior executive at a startup or small company
- Demonstrated ownership of structured-data systems and trackers — Airtable, Notion databases, Google Sheets, or comparable. You can walk us through a system you built or maintained
- Hands-on experience building automations in tools like Notion, Slack workflows, Zapier, Make, Google Apps Script, or similar no-code/low-code platforms
- Comfortable coordinating with external parties: confident chasing status while also building the relationship.
- High verbal bandwidth — you can absorb 10 tasks in a 30-minute call and run with them without needing a detailed written brief
- Strong written communication; comfortable drafting emails on someone else's behalf
- Low ego, satisfaction-from-execution mindset, willing to share opinions when asked
- US-based; Pacific or Mountain time zones strongly preferred
- Experience in renewable energy or battery storage a big plus
Bonus points for
- Energy, infrastructure, or hardware industry exposure
- Experience working alongside outsourced finance functions (bookkeepers, fractional CFOs)
- Familiarity with AI meeting tools (Fireflies, Otter, Granola, Read.ai, etc.)
Compensation & benefits
- Base salary: $75,000-$80,000
- Variable Com: Guaranteed $10k up to $20k annually, based on performance
- Health insurance and 401k with 6% match
- Fully remote with flexible hours within Pacific/Mountain working windows
Target total compensation: $85k-$100k
