We are seeking an experienced Medical Office Coordinator who thrives in a dynamic environment and enjoys balancing both administrative and clinical responsibilities. This is a flexible position where responsibilities may change from day to day based on the needs of the practice.
Position Summary
The Medical Office Coordinator serves as a key member of our healthcare team by supporting front office operations, assisting with clinical duties, coordinating patient care, and ensuring an exceptional patient experience. This position requires strong organizational skills, excellent communication, and the ability to work collaboratively with physicians, staff, patients, and outside healthcare organizations.
The ideal candidate is proactive, dependable, adaptable, and willing to step into a variety of responsibilities to support the success of the practice.
Essential ResponsibilitiesClinical & Administrative Support
· Utilize eClinicalWorks (eCW) efficiently for scheduling, documentation, patient records, and daily office workflow.
· Perform phlebotomy safely and accurately.
· Assist providers with Medical Assistant duties and clinical procedures as needed.
· Prepare patients for examinations and assist with patient flow.
· Maintain accurate patient records while ensuring HIPAA compliance.
Patient Care Coordination
· Assist front desk staff with patient scheduling and care coordination.
· Verify insurance eligibility and obtain referrals or prior authorizations as required.
· Coordinate communication between patients, providers, specialists, laboratories, imaging facilities, pharmacies, and insurance companies.
· Help ensure continuity of care by facilitating follow-up appointments and referrals.
Medical Office Operations
· Support medical billing and insurance processes.
· Maintain knowledge of medical terminology, procedures, and office protocols.
· Answer patient questions professionally and provide exceptional customer service.
· Assist with administrative projects and office workflow as needed.
· Adapt to changing priorities and support multiple areas of the practice.
QualificationsRequired
· Extensive experience using eClinicalWorks (eCW).
· Experience as both a Medical Assistant and Phlebotomist.
· Strong knowledge of medical terminology and common medical procedures.
· Working knowledge of medical insurance verification, eligibility, authorizations, and billing processes.
· Experience coordinating patient care within a medical office.
· Excellent customer service and interpersonal communication skills.
· Strong organizational and multitasking abilities.
· Ability to communicate professionally with patients, physicians, staff, insurance companies, laboratories, pharmacies, and other healthcare partners.
· High level of professionalism, reliability, and attention to detail.
Preferred
· Medical Assistant Certification (preferred but not required).
· Experience in a growing or multi-provider medical practice.
· Ability to work independently while contributing to a collaborative team environment.
