Bookkeeping, Data Management and Social Media Wiz
Berkshire Regional Transit Authority (BRTA) is the bus system, serving 30 cities and towns in Berkshire County Massachusetts. We connect riders to jobs, school, healthcare, and community resources fare free. The Executive Assistant will support the administrative staff in all functions managing a transit system.
BRTA is seeking a detail-oriented and service-driven Administrative Coordinator — This role is ideal for someone who thrives in a fast-paced environment, enjoys building relationships, and takes pride in keeping operations organized and running smoothly. This position blends bookkeeping functions, administrative coordination, and external communication skills.
Key Responsibilities
- Process and Enter Accounts payable by ensuring that all required backup is obtained. (Currently QuickBooks)
- Maintain Contacts database (currently Outlook) of member towns, Advisory Board Members and other organizations.
- Send Public Announcements and Advisory Board Communications for Advisory Board Meetings
- Acting as a liaison to Advisory Board Member, Public stakeholders, and the rest of the office
- Provide day-to-day administrative support including scheduling, correspondence, and file management
- Maintain accurate physical and electronic records in compliance with program requirements
- Process incoming/outgoing communications and route time-sensitive documents
- Prepare reports, spreadsheets, and tracking logs
- Support data entry and system updates
- Draft, design, and post engaging, bilingual content that keeps Social Media followers informed.
Must-Have Qualifications
- 2 + years in government organization or a related experience.
- Proficiency with Microsoft Office and social media platforms.
- Valid driver’s license and willingness to travel within service area.
Preferred Qualifications
- Associate or bachelor’s degree in accounting, communications, social work, public administration, or a related field.
- Familiarity with public transit systems.
- Experience working with seniors, people with disabilities, or underserved populations.
- Event planning experience a plus.
- Tracking and following up on a multitude of details.

Work Setup and Schedule
- Primary office: 1 Columbus Ave, In Pittsfield, MA
- 40 hrs/week, Mon–Fri, 8:00 a.m.–4:30 p.m.
- Occasional evenings/weekends for events; flex time provided to balance hours.
Compensation and Benefits:
- Salary: $50,000–$52,000 (commensurate with experience).
- Paid Time Off: 14 holidays, Personal Days, Vacation and Sick time

Physical Requirements
- Lift/carry up to 25 lbs. of outreach materials.
- Stand or walk for extended periods during events.
- Comfortable using public transportation and traveling throughout service area
- Visual and auditory capacity to interact with the public and read materials
