SUMMARY:
Responsible for the overall administrative support of the behavioral health services department assisting in attending all department meetings, group service meetings and programmatic activities and functions associated with behavioral health programs. Tracks activities to include client attendance at programs and treatment team meetings, recording information as appropriate. Effectively and professionally communicates with staff to support administratively, identifying methods for improving workflow making recommendations for improvement.
Responsible for oversight of all Group clients’ activities. Composes administrative reports and/or correspondence as requested by the Director/Associate Clinical Director. Prepares, files, and manages electronic and hard-copy documents, using various software applications as required. Ensure areas are professionally maintained and cleaned/sanitized in accordance with all CDC guidelines, setting up and breaking down meeting rooms and areas supporting client groups.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
● Manages all client group activities and meets regularly with the Clinical Director to discuss client group operations, related concerns, and project status.
● Interprets and applies policies and procedures to support administrative needs, including CARF, DBHDD, Georgia Collaborative ASO, and other regulatory compliance requirements.
● Follows established policies and procedures related to the disclosure of information, including proprietary or otherwise confidential information.
● Coordinates and completes initial and renewal of transportation standing orders for group and clinic clients and prepares and submits monthly transportation reports on time.
● Performs clerical duties, including creating new client charts, breaking down discharged client charts, and filing clinical documents in client charts and the EHR.
● Establish schedules, task assignments and projects; space and equipment to ensure conformance with departmental commitments.
● Ensure and uphold the confidentiality requirements of all client records and manage all daily tasks and activities consistent with HIPAA, state and federal laws and regulations, as well as agency policies and regulations regarding confidentiality and security.

QUALIFICATIONS:
● High School Diploma with one or more years administrative support experience.
● Core/TIER II Behavioral Health organizational experience preferred.
● Sound decision-making skills required.
● Ability to apply effective customer service strategies, including active listening, problem-solving, professional boundaries, workflow monitoring, deadline management, and timely follow-up.
● Must successfully pass a background check and drug screen/test.
● If applicable, must possess a valid GA state driver’s license and liability insurance minimums as outlined in Caring Works Liability insurance coverage.

PREFERRED SKILLS:
● Efficiency in Google Docs/Google Drive/Excel/Word/PowerPoint.
● Ability to work with at-risk client populations (i.e. chronic illness, mental illness, substance abuse, etc.).
Pay: $18.00 - $23.00 per hour
