Overview
We are seeking a professional and organized Front Desk / Clinical Assistant Staff member to join a busy oral surgery office. This role is vital in providing exceptional customer service, managing administrative tasks, and ensuring smooth office operations. The ideal candidate will possess strong communication skills, proficiency with office management tools, and the ability to handle multiple responsibilities efficiently. Bilingual abilities and experience with medical or dental reception are a plus. 1 Year Required of Dental/Medical office experience
This position begins as part-time with the potential to transition into a full-time role.
Responsibilities
- Greet visitors and clients warmly, providing excellent customer service
- Manage multi-line phone systems, directing calls appropriately and maintaining phone etiquette
- Schedule appointments and manage calendar bookings using Google Workspace or Microsoft Office tools
- Perform data entry, filing, and maintain accurate records using office management software
- Handle incoming and outgoing correspondence, including emails and mail processing
- Assist with administrative tasks such as proofreading documents, managing office supplies, and supporting team members with clerical duties
- Support bookkeeping activities and basic office management functions
- Maintain a professional reception area and ensure the office environment is organized and welcoming
- Provide customer support by addressing inquiries promptly and efficiently
- Support clinical staff with patient flow and room preparation during peak hours or as needed to ensure efficient office operations
- Cross-train to assist with surgical procedures, maintaining a sterile environment and providing hands-on support to the clinical team when required
Experience
- Prior office experience in administrative, clerical, clinical or receptionist roles required
- Experience with front desk operations and/or clinical experience in medical or dental settings is advantageous
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with multi-line phone systems and data entry processes
- Bilingual skills are highly desirable to assist diverse client needs
- Strong organizational skills with the ability to manage time effectively and prioritize tasks
- Excellent phone etiquette, proofreading, and customer service skills
- Experience with bookkeeping or QuickBooks is a plus
- Demonstrated ability to handle confidential information discreetly and professionally
- Willing to train the right candidate
Pay: $20.00 - $25.00 per hour
