This position is responsible for accurately and efficiently processing and managing invoices. The primary focus is to ensure the timely creation, validation, and distribution of invoices to customers, collaborating with various teams to gather essential information required for invoicing.
Key Responsibilities
· Create and prepare invoices based on sales orders, contracts, or project milestones in accordance with company policies and agreements.
· Review sales documentation, purchase orders, and customer contracts to ensure accuracy and completeness before invoicing.
· Invoice custom rug and broadloom orders for Fibreworks customers including national accounts.
· Communicate with the Sales, Logistics, and Production teams to obtain necessary information, resolve discrepancies, and clarify billing-related issues.
· Deliver invoices to customers via various channels, including email, mail, and electronic platforms, ensuring special parameters for each account are met.
· Ensure adherence to relevant financial and accounting regulations, company policies, and industry best practices.
· Monitor real time Cutting Log throughout the day and allocate inventory in GP to provide timely inventory updates for the sales team.
· Process inventory adjustments for 1000’s, damaged material, and short roll inventory moves.
· Verify end of roll tags and make inventory adjustments accordingly.
· Provide invoicing support including preparing and sending Advanced Shipment Notifications and invoices via EDI for Brand customers.
· Assist with completion of Fibreworks’ daily invoicing, including but not limited to Brand accounts, the Outlet, samples, binding, and workroom orders.
· Scan daily orders/invoices into AssureScan. Manually scan any documents not uploaded and confirm all documents were uploaded successfully.
Provide coverage for Senior Invoicing Specialist as needed.
· Any other job duties as may be assigned.

Pay: $21.00 - $24.00 per hour

Experience:
- invoicing or data entry: 2 years (Preferred)
