Assistant Property Manager
We are currently seeking an Assistant Property Manager to join our rapidly growing real estate management team. The Assistant Property Manager is responsible for activities required to successfully manage and supervise our Boca Raton, Florida location. The assistant property manager is responsible for assisting the management team and holding themselves accountable to ensure the highest standards in property operations, superior customer/tenant experience, and fiscal management. The ideal candidate will be high-energy and adaptable in a fast-paced, dynamic work environment. The candidate should be able to work well in a team setting but also work independently, be self-motivated, and take initiative when required.
Position Responsibilities:
The assistant property manager must have the ability to remain calm and respond quickly to resolve problems that may arise in day-to-day operations, be resourceful and self-directed, complete multifaceted tasks under demanding conditions to accomplish desired results, be detail-oriented, maintain a high level of confidentiality, and project a professional image and a positive attitude. Working with the property management team and other departments, the assistant property manager is responsible for activities required to successfully manage a signature class A office building, but not limited to, the following:
- Maintain strict confidentiality as it relates to all sensitive property, client, tenant, and corporate information and issues
- Financial and fiscal management
- Assist in the preparation of the first draft of the annual operating budgets for the asset
- Approve and process vendor invoices for payment
- Review monthly financial statements for the asset, paying particular attention to income and expense variances
- Assist with the preparation of proper accruals, both monthly and year-end
- Assist in the preparation of monthly property reports
- Assist in building and vacancy inspections
- Monitor receivables reports on a regular basis throughout the month and ensure tenant compliance with all lease provisions
- Monitor the Tenant Service Request System, ensuring the timely dispatch and completion of tenant service requests
- Coordination and scheduling of vendors and contractors for maintenance-related work orders and service requests
- Coordination and scheduling of vendors and contractors for preventative maintenance programs for building systems
- Maintain accurate electronic and paper files within the filing system
- Tenant relations and development
- Respond to tenant phone calls and emails in a timely manner and assist with problem resolution. Follow up with tenants to ascertain tenants’ satisfaction with work performed
- Assist in the coordination of tenant move-in and move-out
- Coordinate distribution of the tenant manual and the return of necessary forms from the same
- Prepare or review the emergency procedure manual. Conduct emergency procedure training and drills with tenants

Qualifications:
Education: Associate's Degree or a professional real estate designation (CPM, RPA, CCIM)
Experience: Minimum of 3 years Property Management or related experience
Skills & Knowledge:
· Excellent verbal and written communication skills
· Ability to analyze problems, develop and support solutions
· Ability to interact with all levels of personnel
· Ability to work independently at times in a high-stress environment
· Computer and internet literate with knowledge of Excel and Microsoft Word
· Detail-oriented, highly organized, and familiar with property management software
License/Certification:
