Serve as the primary point of contact for the community’s front office, greeting residents, families, visitors, and vendors.
Manage day-to-day administrative and office operations to ensure efficiency and organization.
Support the Executive Director and leadership team with administrative tasks, scheduling, and reporting.
Maintain business records in compliance with company policies and state regulations.
Assist with billing, invoicing, accounts receivable/payable, and other financial processes as assigned.
Manage office supplies, equipment, and vendor communications.
Answer phones, respond to inquiries, and route communication appropriately.
Support compliance efforts, audits, and survey preparation as needed.
Maintain confidentiality of all resident and employee information.
Spearhead recruitment efforts to find and hire the best candidates for each role.
Manage employee onboarding and new hire orientation; Ensure employees are set up for success and that all employment records are maintained in compliance.
Manage bi-weekly payroll process and ensure all timecards submitted are complete and accurate.
Support staff and serve as an employee resource to answer questions related to HR matters including benefits, policies, and procedures.
Prepare and update schedules and daily staffing and ensure adequate staffing ratios.
Ensure the electronic scheduling system stays up to date to accurately reflect staffing schedule.
Coordinate employee requests for time off to ensure proper coverage of nursing units.
Develop and maintain good working rapport with other departments in the center.
Perform other duties as assigned to support the overall operation of the community.
