The primary function of this position is to assist the Credit Union in achieving its mission to share in the financial success of our members by providing services with fairness and integrity. To achieve this goal, this position must deliver outstanding service to both internal and external members. Responsible for records/ imaging tasks, including but not limited to: document scanning, indexing, filing, retrieving and storing records in a computerized central records system. Working with member and Credit Union records, both paper and electronic ensuring order and accuracy. Responsible for assisting Risk Management Supervisor with administrative duties involving vendor management, ERM, facilities, and document retention and destruction.
Review all Credit Union documents in the Credit Union imaging system indexed by Records/ Imaging Coordinator. Analyze the subject matter to ensure accurate indexing; inspect scanned images for legibility and alignment to ensure quality control and accuracy. Serve as back up to Records/Imaging Coordinator.
Process all subpoenas served on the credit union. Determine validity of request, log subpoena, determine which documents are being specifically requested per the subpoena, and provide completed file to Risk Management Supervisor for review. Invoice requesting party and send all documents via UPS or secure email once approved.
Process requests for corrections and deletions submitted to the imaging email while adhering to credit union retention schedule for each document.
Assist Risk Management Supervisor with administrative duties pertaining to Vendor Management, ERM Software Management, and Facilities Software Management. Including but not limited to pulling monthly and quarterly reports and data entry. Review monthly reports, coordinate with Senior Management regarding items due, and ensure all vendor information is up to date in the vendor management system.
Assist Risk Management Supervisor with administrative duties within the facilities program. Enter facilities tickets, pull monthly reports, produce BOD/Committee reports and assist facilities vendor with Facilities Software. Assist Risk Management Supervisor with maintaining relationship with facilities management vendor.
Inventory and order office supplies.
Oversee the storage and shredding of offsite documents, while keeping an accurate log of scanned or filed documents and adhering to the credit union retention schedule.
Responsible for compliance with Credit Union policies including the Bank Secrecy Act and Customer Identification Program.

Adhere to the Credit Union Service Standards in all interactions both internal and external as well as employing CML (Creating Member Loyalty) skills.

Ensure that the Credit Union is aware of potential losses and compliance issues due to the failure of following operational or procedural guidelines.

Experience One year to three years of similar or related experience. Education A high school education or GED.
Interpersonal Skills Work involves much personal contact with others inside and/or outside the organization for the purpose of first-level conflict resolution, building relationships, and soliciting cooperation. Discussions involve a higher degree of confidentiality and discretion, requiring diplomacy and tact in communication.
Other Skills Ten key calculator and computer keyboard by touch. Comfortable working independently as well as with a team.
Physical Requirements
This is sedentary work which requires the following physical activities: bending, stooping, kneeling, crouching, sitting, walking, finger dexterity, feeling, repetitive motions, talking, hearing and visual acuity. Specific vision abilities required for this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. As required or requested, may exert up to 25 pounds of force occasionally and/or a negligible amount of force constantly to lift, carry, push, pull or otherwise move objects.
