Poplar Hill Machine Inc. is looking for an Office Manager to perform all day to day office duties and procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness and communications. Office manager is to provide general administrative support to our employees. Previous experience as an Office manager or Office administrator would be an advantage. A successful Office manager should have experience with a variety of office software (email tools, spreadsheets and databases and Quickbooks) and be able to accurately handle administrative duties. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
Responsibilities
- Organize office operations and procedures
- Answering all phone calls
- Day to Day Billing and invoicing using Quickbooks
- Gathering all info needed for tax purposes for the accountant
- Ensure that all items are invoiced and paid on time
- Confirming purchase orders to customers and Vendors
- Building Job folders with required documentation and preparing for scheduling
- Tracking all Purchase Orders and communicating there status to the customer on a weekly basis
- Assist in the process for new hires
- Keeping track of employee vacation and personal days
- Confirming Purchase Orders dates to customers
- Processing payroll weekly to payroll company
- Maintaining employee benefits
- Order entry
- Experience with Job Boss MRP software would be helpful
Skills
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, Quickbooks in particular)
- Familiarity with email communication and talking with customers
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
