Job Summary
The Medicare SPOT is looking for a dependable, organized and self-motivated Customer Service & Sales Coordinator to join our team in Smyrna.
This is an important front-office position for someone who enjoys helping people, can manage multiple priorities, communicates professionally and is comfortable working independently.
You do not need previous Medicare experience. We are willing to train the right person who brings strong customer-service skills, attention to detail, follow-through and a willingness to learn.
This position supports our Medicare clients, licensed brokers and agency leadership and plays a key role in keeping our client service and sales processes organized and moving forward.
Key Responsibilities
- Answer incoming telephone calls and assist walk-in clients
- Serve as a professional gatekeeper for the agency and help direct client needs appropriately
- Complete new-client intakes and gather required information
- Assist with compliant Scope of Appointment forms
- Collect and maintain prescription, pharmacy and healthcare-provider information
- Enter and maintain accurate client notes and activities in AgencyBloc CRM
- Conduct financial-assistance screenings and help clients with appropriate resources and follow-up
- Review and manage carrier portal notifications, messages and client-service items
- Provide day-to-day customer service to Medicare clients
- Manage calendar, appointments and scheduling
- Support licensed Medicare brokers with administrative and client-service needs
- Order, maintain and organize Medicare sales kits and marketing materials
- Make new-client welcome and onboarding calls
- Complete client follow-up calls
- Make birthday calls to clients
- Conduct client-retention and relationship-building calls
- Assist with Medicare sales and retention projects throughout the year
- Help prepare for busy Medicare enrollment periods
- Complete other tasks or special projects as assigned or as needed

The person in this position must be comfortable documenting calls, conversations, follow-up items and completed activities accurately and consistently in our CRM.

Experience
Preferred:
- 2+ years of customer service, administrative, medical-office, insurance-office, banking, scheduling or similar professional experience
- Experience working with a CRM or client-management system
- Experience handling a multi-line phone system, appointment scheduling or customer follow-up
Medicare or insurance experience is helpful, but not required.
We are more interested in finding someone with the right work ethic, personality, organizational skills and ability to learn.
