Duties
- Respond promptly and professionally to customer inquiries via multi-line phone systems, email, and live chat channels.
- Manage front desk operations, including greeting visitors, answering calls, and directing them appropriately.
- Maintain accurate records through data entry, filing, and updating customer information using productivity software like Microsoft Office and Google Workspace.
- Support office management tasks such as calendar management, appointment scheduling, and organizing meetings.
- Assist with bookkeeping tasks using QuickBooks to ensure accurate financial record-keeping.
- Provide clerical support including proofreading documents, managing office supplies, and supporting administrative projects.
- Deliver excellent customer support by addressing concerns efficiently, providing product or service information, and ensuring a positive experience.
Skills
- Strong computer literacy with proficiency in Microsoft Office, Google Workspace, and productivity software.
- Excellent phone etiquette with experience handling multi-line phone systems confidently.
- Bilingual abilities are highly valued to serve diverse customer needs effectively.
- Previous office experience including front desk duties, administrative support, or medical/dental receptionist roles is preferred.
- Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Data entry accuracy combined with typing speed to handle high-volume administrative tasks smoothly.
- Knowledge of bookkeeping tools like QuickBooks along with general office management skills such as filing and calendar management.
- Exceptional customer service skills with a friendly demeanor and problem-solving attitude.
- Technical proficiency in using productivity tools for documentation, proofreading, and scheduling tasks.
