We are an established automotive dealership and related warranty/administration business located in Merrimack, NH. We are looking for a highly organized, detail-oriented person to assist with company paperwork, compliance, legal coordination, contracts, official documents, business administration, and follow-up across multiple affiliated companies.
This is not a sales position. This role is for someone who is responsible, careful with details, comfortable working with documents, and able to follow up until matters are completed.
Position Overview
The Legal Assistant / Compliance & Corporate Administration Coordinator will support ownership and management with legal, compliance, corporate, and administrative matters across multiple automotive-related businesses.
This role includes organizing company records, assisting with business formation projects, coordinating new dealer/account setup, preparing information for attorneys and outside professionals, tracking required documents, maintaining compliance files, and helping ensure official paperwork is completed accurately and on time.
The right candidate should be comfortable working with contracts, government forms, insurance documents, dealership paperwork, warranty/service contract documents, customer complaints, vendor agreements, corporate records, attorney requests, and confidential business projects.
This person will not provide legal advice. The role is to coordinate, organize, prepare, and follow up on official company matters under the direction of ownership and outside legal/accounting professionals.
Responsibilities
- Organize and maintain company legal, compliance, corporate, and administrative records.
- Communicate with attorneys, accountants, insurance agents, vendors, lenders, state agencies, administrators, and other official parties.
- Prepare documents and information requested by outside counsel, accountants, ownership, or management.
- Assist with new business formation, registration, licensing, and administrative setup projects.
- Coordinate paperwork for new dealer accounts, affiliated business relationships, vendor accounts, and program-related documentation.
- Maintain corporate books, ownership records, entity documents, operating agreements, annual reports, licenses, permits, and renewal calendars.
- Track deadlines for renewals, filings, licenses, registrations, claims, complaints, and official notices.
- Track required signatures, missing documents, open compliance matters, and follow-up items.
- Create and draft company forms, internal policies, contracts, checklists, and internal documentation.
- Assist with dealership compliance paperwork and customer-related documentation.
- Help manage warranty/service contract administration paperwork and claim-related documentation.
- Assist with BBB complaints, customer complaints, demand letters, attorney letters, and regulatory response preparation.
- Support confidential business expansion projects involving automotive dealerships, administration programs, and related company operations.
- Maintain organized digital and physical files.
- Follow up on open matters until completed.
- Help create internal procedures so important tasks are handled consistently and correctly.
Qualifications
- Prior experience as a legal assistant, paralegal, compliance coordinator, office manager, dealership administrator, warranty administrator, corporate administrator, or similar role preferred.
- Experience with business formation, licensing, corporate records, dealership administration, legal assistant work, compliance, insurance, warranty administration, or finance documentation is strongly preferred.
- Automotive dealership, warranty, insurance, finance, or legal office experience is a strong plus.
- Strong attention to detail is required.
- Must be comfortable reading contracts, forms, letters, official documents, and business paperwork.
- Excellent written and verbal communication skills.
- Ability to keep confidential information private.
- Strong follow-up skills and ability to manage multiple open tasks.
- Comfortable using email, Google Drive, Microsoft Office, PDFs, scanners, and basic online portals.
- Must be reliable, professional, organized, and able to work independently.
- Must be able to follow instructions carefully, communicate professionally, and keep projects moving without constant supervision.
- Must be able to take ownership of tasks and make sure they are completed correctly.

Schedule
Monday to Friday, full-time. Part-time can be discussed.

Pay: $28.00 - $36.00 per hour
