Early and School Age Program Coordinator – Sugar Land
Part-time, non-exempt position
Founded in 2003, GiGi's Playhouse Inc.’s mission is to change the way the world views Down syndrome and send a global message of acceptance for all. This is accomplished through national campaigns, purposeful programs, and by empowering individuals with Down syndrome, their families, and the community. All programs are free and are therapeutic or educational in nature. Each one of our programs is designed to work on specific skill development, including speech and language, literacy, socialization, and fine and gross motor skills. GiGi’s Playhouse currently has over 51+ locations across North America and is growing by several locations annually.
Position Summary:
The Early and School Age Program and Volunteer Coordinator ensures the success of GiGi’s Playhouse – Sugar Land programs for early and school age participants by delivering engaging programs and fostering community among families and volunteers. This organized, goal-driven individual oversees curriculum implementation and recruits, trains, and supports volunteers across all infant, toddler, youth, and teen programs. Availability for evenings and some weekends is essential for this role.
The coordinator collaborates with the National Program team and reports to the Program and Volunteer Manager.
This is a grant funded position.
Essential Job Functions:
Program Planning
o Implements Standards of Execution for Programs, following GiGi’s National Program Planning Handbook.
o Creates a rolling 12-month program plan based on the National Strategic Program Plan, focusing on boosting engagement and participation through program offerings.
o Engages with families to assess program needs, schedules, and themes, ensuring alignment with GiGi’s mission.
o Attends regular National calls as directed by the manager.
Program Implementation
o Plans and executes programs to support volunteers and families, stepping in to troubleshoot or cover as needed. Availability for evenings and some weekends is essential for this role.
o Ensures all programs align with GiGi’s Playhouse objectives and branding.
o Collects and evaluates feedback on program delivery, resources, and materials to drive improvements.
Volunteer Coordination
o Ensures programs for early and school-age participants are scheduled and available, coordinating and supporting volunteers to meet these needs effectively.
o Builds and maintains relationships with volunteers, assessing their progress and providing additional coaching or support as needed.
o Onboards and trains new volunteers, ensuring all requirements—background checks, LMS training, certifications, and forms—are completed prior to their start date. Conducts meetings to review operations and policies.
o Coordinates Volunteer Recognition and Appreciation for all program volunteers a minimum of two times per year – thank you cards, emails, social media, blog posts, appreciation events, etc.
o Support and guide the Youth Board.
Program Marketing
o Captures and shares success stories, impact quotes, and quality photos from programs to support marketing efforts.
Data Coordination - Program Outcomes, Participation and Volunteer Hours
o Utilizes Salesforce to document and track participant and volunteer activity, program participation, and program outcomes.
o Ensures accurate data entry and regularly updates program outcomes in Salesforce for all programs.
o Generates, analyzes, and aggregates program impact through Salesforce reports.
o Conducts daily, weekly, and monthly data cleanup for program reports, including program verification, enrollments, matching, and outcomes.
o Identifies and resolves issues such as duplicate records, new family entries, and primary parent details.
Qualifications:
o Bachelor’s degree in education, Special Education, Social Work, or a related field preferred
o Minimum of two years’ experience in program management, adult education, or career development, with experience working with individuals with disabilities.
o Proven ability to develop curriculum and manage program implementation.
o Strong leadership and communication skills, with experience in training and managing volunteers.
o Proficiency in Microsoft Office and Salesforce or similar CRM tools.
