Administrative Assistant, Executive Director of Technology

JOB DESCRIPTION:

Primary Purpose: Assist the Executive Director of Technology and staff in the clerical duties of the department.

RESPONSIBILITIES:

Major Responsibilities and Duties

Provide clerical support including answering the telephone, processing mail, filing, typing, word processing, calendars and scheduling, and handling multiple correspondences.

Perform varied typing tasks in preparation of correspondence, purchase orders, forms, and reports for supervisor and staff.

Perform general filing as needed.

Duplicate printed materials as needed.

Assist supervisor and directors with planning and tracking budgets for Local, State, Federal and Bond funds.

Assist with maintaining E-Rate documents.

Assist with maintaining all request for proposal (RFP) documents.

Assist in preparing district and state government applications and reports.

Assist in the distribution of hardware, software and equipment to the proper schools/departments.

Coordinate, prepare and organize communications and information within the Technology department and between other district departments.

Manage purchasing for the assigned departments through effective tracking of all expenditures, soliciting quotes and bids, preparing requisitions and purchase orders and processing items received.

Process vendor invoices from receipt to payment.

Monitor expendable supplies and advise supervisor when to reorder.

Maintain and safeguard all confidential records and information.

Take necessary and reasonable precautions to protect students, equipment, materials and facilities.

Assist in upholding and enforcing school rules, administrative regulations and Board Policy.

Accept responsibility for professional growth through involvement in an ongoing program of reading, workshops, seminars, conferences and/or advanced course work at institutions of high learning.

Correct unsafe conditions that may exist in the work area that could cause an accident. Any conditions that are not correctable by you are to be reported to the supervisor immediately.

Attendance at work is an essential function.

Other duties as assigned by the supervisor or designee.

EXPERIENCE:

QUALIFICATIONS:

Minimum Education/Certification:

High school diploma or GED
30 credited college hours OR five years of experience as an administrative assistant or similar office experience

Special Knowledge/Skills:

Proficient in the use of word processing, spreadsheets and presentation software
Proficient in the use of financial and inventory databases
Ability to multi-task and follow verbal directions
Working knowledge of technology hardware and software preferred
Basic knowledge of data processing system
Strong organizational and interpersonal skills

OTHER INFORMATION:

Equipment Used: Uses PC Computer, printers, copier, calculator, fax and scanner. Working Conditions: Mental/Physical Demands/Environmental Factors: Heavy lifting and carrying (45 pounds and over), pushing, reaching above shoulders, use of fingers, walking, standing, repeated bending, specific visual requirements (using computer), specific hearing requirements (phone conversations). Excessive noise (intermittent), constant noise (computer room), dust, solvents (degreasing agents), electrical energy, works around machinery with moving parts.
