Job Overview
We are seeking a compassionate, detail-oriented, and highly organized Administrative Professional to join our mental healthcare team. This position is crucial in providing administrative support to ensure smooth daily operations and high-quality care for our patients and providers. The ideal candidate will have experience in a healthcare setting and possess the ability to manage sensitive patient information with confidentiality and care.
Responsibilities
- Provide administrative support to the clinical team, including psychiatrists, therapists, and counselors, to ensure efficient scheduling, communication, and patient flow.
- Schedule patient appointments, handle rescheduling and cancellations, and manage therapist or provider calendars.
- Schedule intake appointments and gather the complete necessary information and provide clear, compassionate explanation of the next steps for the new client. This includes but is not limited to gathering background information, matching with an appropriate provider, obtaining accurate information regarding insurance and credit cards, reviewing required paperwork, and orienting the client to the intake process including whether virtual or in person.
- Help maintain patient records, ensuring they are accurate, up-to-date, and HIPAA compliant.
- Greet patients and visitors, manage intake procedures, and provide a welcoming, empathetic environment for individuals seeking care.
- Handle phone calls and emails from patients, family members, and other healthcare providers, directing inquiries to the appropriate personnel or responding to questions regarding services.
- Collaborate with both Operational and Clinical leadership to ensure the office(s) run efficiently and are well-stocked.
- Ensure patient confidentiality and privacy are maintained in all communications and documentation.
- Assist with general office tasks such as filing, copying, scanning, and mailing.
- Collaborate with clinical team to track patient progress, manage follow-up appointments, and communicate any urgent concerns or changes in patient status.
- Collaborate with and support the Intake, Billing, Credentialing, or Med Services team as requested to ensure smooth operational workflows and wrap-around support for clients and providers
Qualifications
- High school diploma or equivalent required; associate or bachelor's degree in administration, psychology, or related field preferred.
- Experience in an administrative role within a healthcare or mental health setting preferred.
- Proficient in Microsoft Office Suite (Word, Excel, Teams, Outlook).
- Strong organizational and time-management skills, with the ability to manage multiple tasks and priorities in a fast-paced environment.
- Compassionate and empathetic attitude towards patients and staff.
- Excellent communication skills, both verbal and written, with the ability to maintain professionalism in sensitive situations.
- Understanding of patient privacy laws and HIPAA compliance.
- Ability to work independently and as part of a team.
- Ability to maintain a calm and composed demeanor in a healthcare setting, especially during high-pressure situations.
Pay: $21.00 - $24.00 per hour
